Job Description
50% - Project Coordination
Participate in the development of key goals and objectives of PMC projects and execute those goals and objectives to ensure projects are delivered on time, within budget, and with the best odds of success.
Document, communicate, and manage assigned PMC projects in alignment with the PMC strategic plan, Key Performance Indicators, PMC calendar of events, and direction from the Director and Associate Director.
Coordinate the collection and analysis of project data through comprehensive tracking
Prepare, edit, and write reports on project status and progress
Collaborate with internal and external stakeholders to understand the scope, direction, and objectives of each PMC-assigned project.
Execute, monitor, and distribute project deliverables: Outsourced printing, graphic design, document compiling, and binding activities; invoicing clients; payment processing; certificate generation; learning management system adjustments; Facility management; catering services; assessment activities; etc.
Present and communicate project completion tracking data to internal and/or external stakeholders through comprehensive statistical program reports and evaluation.
Adapt & Utilize PMC technology - HubSpot, Enrole, Touchnet, MS Office, etc.
Think adaptively and within a solution-orientated mindset to solve issues in collaboration with PMC staff.
Provides on-site support for PMC in-person and online events as identified through PMC strategic priorities.
On-site assistance may include, but is not limited to, tech support, check-in support, and notetaking.
On site assistance may fall outside of normal business hours (M-F 8 to 5).
Assists Communications Coordinator as needed in the execution of PMC events such as graduation ceremonies, conferences, lecture series, etc.
45% - Accounting, Budget, Enrollment Data / Forecasting
Develop, document, implement, manage, and suggest improvements to financial processes used by the PMC.
Process & monitor financial transactions following university policy and procedures.
Prepare deposits, pays contract employees, and assists in tracking program-related financial revenue & expenditures.
Process, track, and ensure accuracy of travel items for PMC team members including travel requests, travel reimbursement, and travel coordination.
Process financial transactions within the SSC standard processes for purchasing, contract instructor pay, instructor reimbursement, supplies etc.
Monitor financial transactions for accuracy and process adjustments.
Prepare and evaluate enrollment forecasting documents to assist in operational decision-making.
Prepares monthly reports for university process and PMC decision-making.
When appropriate, take ownership of financial transaction tools to deliver value to the PMC.
5% - Professional Development
Required Qualifications
Master's degree in Business, Finance, Accounting, Project Management, Public Service, or related field OR Bachelor's degree in Business, Finance, Accounting, Project Management, Public Service, or related field PLUS three years related experience.
Two Years experience working with financial processes like budgeting, forecasting, or executing financial transactions.
Demonstrated experience working collaboratively in a team setting as evidenced by application materials.
Strong written communication skills, as evidenced by application materials.
Preferred Qualifications
Experience and work samples of professional use of CRM software systems such as HubSpot, Salesforce, or Slate.
Experience and work samples of professional use of project management technology such as Teamwork, ASANA, or Monday.
Experience with a registration software system such as Enrole, Eventbrite, or Whova.
Experience and work samples of professional use of LMS systems such as Blackboard or Canvas.
Experience with non-credit professional development programs, as evidenced by application materials.
Experience working with or teaching in professional development programs or adult continuing education programs.
Experience maintaining calendars through MS Outlook as evidenced by application materials.
Excellent organizational skills and demonstrated attention to detail, as evidenced by application materials.
