Your Opportunity

In this postion you will have the opportunity to provide support for the successful execution of projects through conformance to Stantec's ISO requirements, corporate policies, solid project management objectives, and client requirements and standards. Your Key Responsibilities

  • Assists with document control processes and procedures established for project functions including document tracking, deliverables scheduling and management, submittals, change logs and other communication tools.

  • Works closely with the project team to maintain a current and accurate understanding of project status, issues and changes.

  • Provides support to project management and team members to adhere to client standards, Stantec required procedures, and document management.

  • Assists with project invoicing.

  • Supports business development professionals.

  • Assists with the preparation and deliverable of high quality, accurate and timely documents such as: specification packages, reports, submittals tracking, and other required documentation.

  • Maintains revision control.

  • Coordinates project deliverables and schedules.

  • Prepares required project set up documentation.

  • Follows record retention policies.

  • Provides general team support / office support functions as required.

  • Maintains Vehicle Log Portal.

Your Capabilities and Credentials

  • Prior experience working in engineering, geologic, architecture, or construction field preferred.

  • Prior knowledge of documentation / revision control is required.

  • Prior work in documentation control / project assistant role is required.

  • Demonstrated ability to handle multiple priorities and assignments.

  • Excellent written and verbal communications skills.

  • Strong analytical skills.

  • Must be detail-oriented, resourceful, and must show consistency in following client submittal requirements.

  • Must have excellent interpersonal skills.

  • Must be able to successfully work both collaboratively and independently.

  • Proficient in MS Office including Word and Excel is required. Access and PowerPoint are a plus.

Education and Experience

Technical degree/diploma/certificate or equivalent in related field; or equivalent combination of education and experience. Minimum of 2-3 years of experience.

Typical office environment working with computers, staff, and pick-up/deliveries at front desk.

The US Oncology Network has 1,400 affiliated physicians, 400 locations across the United States and 800,000 patients treated annually We have an immediate opening for a Full Time Patient Services Coordinator. SCOPE: Professionally greets and welcomes patients and their friends/family. Registers and schedules appointments for patients in a efficient and timely manner. Answers, screens, and directs all incoming calls to appropriate personnel relaying messages between patients and clinical staff. Supports and adheres to the US Oncology Compliance Program, to include the Code of Ethics and Business Standards, and US Oncology*s Shared Values. ESSENTIAL DUTIES AND RESPONSIBILITIES: * Greets patients and visitors to the clinic in a prompt, courteous and professional manner. Checks in patients and informs clinical staff of patient arrival. * Provides and explains paperwork for the patient to complete prior to examination. Collects, proofs for completeness, and files patient forms. Updates demographics and insurance information in the system. Collects co-pays and balances; provides receipt. * Answers, screens, and responds to routine questions, routes to appropriate personnel, or take thorough messages. Pages clinic personnel as appropriate. Communicates messages in an accurate and timely manner according to procedures. * Checks patients out after examination. Schedules returning appointments in accordance with physician and/or office guidelines. Provides patients with appointment details such as time, location, directions, instruction sheets, and other details. * Records patient cancellations and missed appointments; reschedules appointments. Notifies appropriate staff of the cancellation and makes note in patient chart. * Provides general administrative support by filing charts and forms. Maintains lobby area in a neat and orderly manner. Maintains a legible supply of forms and appropriate office supplies required for daily activities. * Adheres to confidentiality, state, federal, and HIPPA laws and guidelines with regards to patient*s records. * Other duties as requested or assigned. May type memos and forms. MINIMUM QUALIFICATIONS: High school diploma or equivalent required. Some receptionist or office experience preferred.
