Position Summary:

Under the direction and assignment of the AVP of Clinical Regulatory and public Reporting, performs a variety of duties related to the coordination of Quality, Patient Safety and Regulatory performance improvement projects, quality initiatives, educational activities, and regulatory functions.

Works closely with the Regulatory and Public Reporting teams to develop project timelines, perform analyses, identify potential solutions and collaborate with others to develop best practice recommendations for multiple levels of projects.

Position Qualifications:

Bachelor's degree required and three years related work experience required. A working knowledge of performance improvement standards and methodology is strongly preferred.

Strong organizational skills and excellent communication skills, both verbal and written required. Background in project management preferred. Proficiency in Microsoft office Suite products, particularly with Powerpoint, Excel and Word, in addition to working knowledge of Access.

Must have driver's license to move from one campus to another as necessary. Must show willingness to be flexible and adaptable to change in priorities. Ability to multi-task, trace progress and quality of project plans, as well as on-going work. Must be able to work independently and function as a team member who fosters effective communication and coordination of department efforts.

Major Responsibilities:

Works independently with the AVP and Quality Project Managers in supporting multiple project teams to facilitate activities related to performance improvement projects and initiatives which may include researching information, analyzing data, providing data tools or survey tools, as well as compiling and displaying information.

Coordinates the activities of the Quality, Patient Safety & Regulatory departments, and is assigned to different directors in the department to support key initiatives, including, but not limited to activities focused on patient experience, clinical quality improvement, efficiency, national patient safety goals, FMEAs and other initiatives as needed.

Works closely with the department's Project Managers with the organization and coordination of projects and activities. This may include serving as project lead, developing educational material, or developing project plans.

Coordinates activities related to hospital-wide policy development and approval by obtaining pertinent information from authors, as well as tracking status and approvals.

Works with all levels of hospital clinical and non-clinical staff in the coordination of performance improvement issues and solutions. Maintains positive working relationships, demonstrates accountability and promotes team work and keeps team informed of project status.

Supports selected hospital-wide Performance Improvement Committees by working with assigned chairperson to facilitate appropriately any follow up.

Proactively coordinates performance improvement programs and makes necessary recommendations to the Quality and Patient Safety department.

Recommends and facilitates department systems and processes that improve patient safety, productivity, workflow, and patient experience.

Recommends and contributes to the development of educational materials and collaborates with administrative and clinical personnel regarding performance improvement and patient experience initiatives.

Serves on designated organizational and public committees with the purpose of providing a broad consumer perspective.

Facilitates open communication with families and professionals and work collaboratively to design, implement and evaluate improvement efforts.

Coordinates and provide training to students, residents and hospital staff focusing on effective communication and behaviors that reflect respect & civility. Serves as the key resource/educator for HR, New Employee Orientation regarding Patient Safety.

Manages and participate in Schwartz rounds.

May lead performance improvement initiatives with the guidance of the Director and Project Managers and escalates issues appropriately.

Complies with established departmental policies, procedures, and objectives.

Attends variety of meetings, conferences, seminars as required or directed.

Demonstrates use of Quality Improvement in daily operations.

Complies with all health and safety regulations and requirements.

Respects diverse views and approaches, and contributes in maintaining an environment of professionalism, tolerance, civility and acceptance toward all employees, patients and visitors.

Performs other similar and related duties as required or directed.

Patient Safety and Regulatory Project Coordinator

Major Responsibilities

Receives and tracks external regulatory licenses, certificates and accreditations for UMass Memorial Medical Center to ensure safety, government and legal compliance. Ensures current and updated materials are received and on file.

Coordinates external clinical and facility investigations and inspections and serves as department liaison for external and internal inquiries.

Coordinates support activities for ongoing continuous external The Joint Commission (TJC) survey readiness. Maintains ongoing databases for TJC periodic performance review. Reports information as warranted.

Create and oversee maintenance of Patient Safety and Regulatory internal website
