Project Coordinator Program Operations & Training

The Project Coordinator role will work alongside the Program Operations and Training teams to support Envisions educational programs in achieving their mission of making students career aspirations a reality. This role will report to the Program Operations Manager with heavy support of the Training team in the lead-up to the summer training season.

Position Responsibilities

Program Operations

  • Plan and produce training sessions and relevant training materials

  • Assist manager with collection of program needs and expense forecasts

  • Development and management of Excel-based resource/materials requisition system

  • Respond to and track customer requests from Admissions Department via CRM system

  • Hire, train, manage, and support seasonal staff members on the Program Operations Support Team

  • Monitor operational deadlines and delegate tasks within seasonal team ensuring their completion accurately and on-time

  • Order and monitor inventory of program materials including promotional items, signage, and print materials

  • Track and communicate information about materials shipments to program teams

  • Use internal database and enrollment system to update and manage student data

  • Complete program enrollment updates, arrival reports, and track early departures

  • Compile student travel information and check for accuracy in order to create student arrival manifests

  • Support managers within Program Operations Team on projects as they arise

Training

  • Act as system administrator for learning management system

  • Monitor training inbox and act as primary point of contact for training questions from staff

  • Order and monitor inventory of training materials and supplies

  • Manage staff handbook development process from collecting deliverables to ordering final product

  • Assist in the development of training videos and resources

  • Manage training production schedule across stakeholders

  • Organize and schedule annual train the trainer events

  • Provide feedback as first line tester and editor of Envision training materials

Position Qualifications:

  • Bachelors degree required

  • Strong written and verbal communication skills

  • Self-starter, solution-oriented

  • Organized and detail-oriented with ability to prioritize and work on various projects simultaneously

  • Advanced skill with Microsoft Excel, Office, and PowerPoint

  • Demonstrated experience in project management

  • 1 2 years of professional experience

  • Previous experience with e-learning development (preferred)

  • Prior Envision program experience (preferred)

The position requires an active Top Secret/Sensitive Compartmented Information security clearance with a polygraph examination. There is no exception to the clearance requirement. Successful candidates will work well in team environments and will be capable of operating independently with minimal supervision. Candidates will be expected to effectively interact with customer personnel at all levels within the customer organization. The position requires prior experience in supporting HUMINT operations or familiarity with the Intelligence Community and its objectives. JOB DESCRIPTION: In addition to the clearance requirement, successful candidates will demonstrate proficiency in the functions of a Staff Operations Officer or familiarity with the Intelligence Community and its concomitant functions. The primary function of a Staff Operations Officer is to support operational elements by providing operational research and analysis in furtherance of the client's objective to acquire intelligence. Officers will utilize customer-specific databases to conduct multiple layers of research and write summaries, reports, official correspondence, and guidance. Officers will also be expected to provide thorough and knowledgeable briefings on the analysis to customer management. REQUIRED EDUCATION/SKILLS: TS/SCI with Polygraph and 8 years of experience related to intelligence research and analysis work is required. BA/BS or prior experience in supporting HUMINT operations or a related field as substitute for degree is required.
