Qualifications

  • Previous experience in an engineering or technical firm preferred
  • Self-motivated, driven, reliable and good communication skills required
  • Higher education and certifications or training preferred
  • Stellar Microsoft Office abilities, extensive Excel knowledge preferred
  • Ability to learn and retain new knowledge
  • Self-starter with desire and ability to learn and retain knowledge
  • Ability to multitask and learn new information quickly and effectively
  • Must be a team player and have excellent interpersonal communication skills
  • Ability to exercise adaptability in new situations
  • Excellent organizational and administrative skills
  • Willing to put in the extra hours when needed, but also enjoy the shorter hours when available

Essential Job Functions

  • Complete and return work in a timely manner
  • Collaborate with team members on educational opportunities
  • Business development and marketing as opportunities present themselves
  • Communication with clients, vendors and team members in a timely manner
  • Participate building permit process and utility coordination
  • Communicate with Project Managers and Team Leads to assist in coordination as needed
  • Miscellaneous research tasks into new products, educational opportunities, or markets
  • Identify opportunities to improve quality and services, and participate in their implementation
  • Help maintain and manage documents flow between client and project manager
  • Coordinate work with other disciplines such as architectural, mechanical, electrical, etc.
  • Manage project budget and document coordination between client and 3rd party vendors
  • Work directly with clients and third party contractors to keep an open line of contact for project and construction coordination
  • Communicate issues as they arise to clients, team members and other parties involved
  • Administrative and office management, supply and lunch ordering, and office organization
  • Assist and coordinate with marketing team to plan internal team building activities, and external marketing opportunities.
  • Miscellaneous tasks to assist Project Managers, Directors, Project Engineers, and
    Designers

Position Title: Project Coordinator Position Summary Supports a team (District, Area, or Functional group) with assigned projects and/or any of the following as assigned: correspondence, various administration tasks, tracking project deliverables, dates and monitoring deadlines; provides regular and timely reports highlighting variances as they arise. Essential Job Functions * Updates necessary tracking system(s) to ensure that project and/or program status is maintained with complete accuracy, including third party management systems. * Creates and distributes correspondence relevant to the team, project or program (internal and external). * Assists with administrative preparation for various meetings. * Communicates all issues to management prior to reaching critical status. * Develops and maintains accurate and complete files for projects and programs; continues to monitor for integrity and completeness. * Provides ad hoc reports as requested. * Provides additional administrative support as required. * Issue vendor POs, as needed * Various Office management functions such as supply ordering, package shipment, event coordination, office vendor coordination and payment (garbage, utilities, coffee, etc) Education/Certifications * High school diploma or equivalent * Associate's degree or equivalent work experience preferred Experience/Minimum Requirements * One (1) to three (3) years in a general business environment with project coordination and/or administration experience Other Skills/Abilities * Computer skills using Microsoft Office and ability to learn a variety of tracking and project management software * Excellent organizational/administrative skills * Strong interpersonal skills * Ability to thrive in a dynamic problem solving environment * Ability to multi-task in a fast paced environment * Customer service orientation with a strong problem solving approach Organizational Relationship Reports to: Various Title(s) of direct reports (if applicable): N/A Working Conditions: Works in a normal office setting with no exposure to adverse environmental conditions.
