Responsible for ensuring department level operations run smoothly, especially as it relates to people, events and special projects. Ensure deliverables are well coordinated and fulfilled in accordance with management expectations and quality standards. Also provide administrative support to Managing Director as required.

Job Description

  • Manage the department's yearly strategic planning process and report monthly metrics to the Strategic Planning committee

  • Source, coordinate and manage all of the divisions off-site and special events

  • Coordinator for numerous one-off internal business projects with management, which includes logistical, operational, and budget implications. Ensure adherence to project timelines and standards, (e.g. restructuring meetings for efficiency, developing divisional reporting processes)

  • Liaison with human resources to support needs for the division, including assistance with job descriptions, staff requisitions, recruitment, background checks, offer letters, employee status changes and training

  • Administrative support for executive leaders including meeting management, expense reports, travel and mailing needs

  • Responsible for maintaining space plan and working with facilities and IT to coordinate moves

  • Responsible for tracking invoices and ensuring they are processed and paid in a timely manner by accounts payable

  • Coordinate staff events, such as staff appreciation lunches, events lead by the culture committee, quarterly sales meetings and quarterly town halls

  • Perform other related duties as required and assigned

  • Demonstrate behaviors which are aligned with the organization's desired culture and values

Ideal Candidate will have the following:

  • Bachelor's Degree in Communications, Business Administration or related field required

  • Highly proficient in Microsoft Office (Word, Excel, PowerPoint, Visio)

  • Project management skills

  • Effective written and verbal communications skills

  • Must be a team player with strong attention to detail and able to work independently

  • Proven track record at delivering timely and accurate information in a fast-paced environment

  • Excellent critical thinking, problem solving and mathematical skills, and sound judgment

  • Financial Services and, if possible, mortgage industry experience preferred

  • Human Resources & administrative experience preferred

  • Strong business acumen and ability to interface effectively with executive management

VIEW JOBS 9/28/2019 12:00:00 AM 2019-12-27T00:00 JOB SUMMARY: Reporting to the Manager of Professional Services, the Project Coordinator assists in the planning, management direction, project completion, client satisfaction, and financial outcome of various IT and IS projects. This person will assist in monitoring the activities of designated projects to ensure that goals or objectives of projects are accomplished within the prescribed time frame, budget and customer expectation parameters. The incumbent is expected to exercise judgment and discretion in assisting with project management techniques, process controls and procedures in order to execute the work required. This position requires critical thinking in order to recognize issues and identify appropriate solutions. The Project Coordinator will assist in planning and executing work for multiple assignments and overlapping schedules. Essential Functions: * Gathers all project information: schedules, data requests, assignments, tasks, and project meetings. * Track project deliverables and ensure schedule adherence for the respective tasks. * Become the liaison between the customer and the Quest team in regards to assigned projects. * Assist in the coordination of teams to and project assignments * Schedule project follow up meetings as needed. * Develop supporting data in the form of text, tables, charts and spreadsheets for use in technical reports. * Manage raw data files and make accessible for others. * Report items to Quest management and team members. * The incumbent may be asked to perform other duties as apparent or assigned. JOB SPECIFICATIONS Knowledge, Skills, and Qualifications: * 2+ years experience in project coordination are a plus, but not required * CAPM or PMP are a plus, but not required * Candidate must have exceptional written and verbal communication skills * Must be proficient with Microsoft Office (Outlook, Excel, Word and PowerPoint) and Google Applications * Strong computer knowledge and organizational skills * Travel may be required to customer locations depending on customer and business needs. * Must have a positive/ambitious attitude Working Conditions / Environment & Physical Demands: * Required to work in an office environment with moderate noise and moderate temperatures. * Incumbent may be asked to perform other duties as required. * Sit for long periods of time.
