The OHSU Knight Cancer Institute, known as one of the pioneers in personalized cancer medicine, is an international leader in research and cancer treatment. Driven by its mission to end cancer as we know it, the institute is building upon its expertise in targeted treatments to advance the early detection of cancer when the disease is most treatable. The Cancer Research Training and Education Coordination (CRTEC) team within the Knight Cancer Institute assists in coordinating new and existing education, training, and career enhancement activities and identifying areas to develop new opportunities to support a diverse, skilled, and knowledgeable oncology workforce.

Function/Duties of Position

Utilizing clearly defined expectations and effective communication skills, the Pathway Programs Project Coordinator works directly with pathway program leaders and administrators to ensure smooth and efficient summer internship programs. This role can directly support summer pathway programs and also facilitate efficiencies and coordination across pathway programs supported by other administrators. Pathway programs introduce high school and undergraduate-level students from diverse backgrounds to cancer research. This position can support all aspects of program administration including curriculum development, managing admissions, events, coordinating communications, and establishing and managing tracking mechanisms. This position will receive direction and support from multiple executives through matrixed leader relationships but will report directly to the Associate Director of Cancer Research Training and Education (CRTEC).

This position participates in formal and informal training relative to the responsibilities described herein. By fulfilling this position's responsibilities, the Pathway Programs Project Coordinator will also identify and actively propose revisions to educational materials, toolkits, and SOPs to ensure consistency in messaging related to processes and pathway program coordination.

Position Responsibilities

  • Project Management

  • Provide comprehensive project management to support the coordination of the B-BRITE Program.

  • Provide project management support for other summer pathway programs, as assigned.

  • Engages with potential participants and supports pathway program trainees in navigating program expectations and OHSU policies.

  • Establishes and manages project-specific tracking of B-BRITE trainees and other pathway program tracking as assigned. Uses an established, centralized trainee tracking system provided by the Knight Cancer Institute (i.e., Research Logix).

  • Develops and maintains detailed project plans; manages project scope, timeline, budget, resources, costs, project/data analytics, and quality in accordance with established project management methodology and best practices, as appropriate.

  • Ensures projects are on track, communicates the status of projects, builds contingency and mitigation plans, and prepares and provides regularly scheduled project updates to leadership. Proactively identifies, aligns, and reconciles potential areas of duplication or conflict with existing strategies, operations, and programs.

  • Develop clear communication of activities to internal and external parties to ensure opportunities are apparent to potential participants.

  • Collaborates and contributes to the goals of the overall CRTEC program through active participation in the larger CRTEC cross-departmental team.

  • Collaborates and contributes to the success of the Knight Cancer Institute Strategic Plan, as appropriate.

  • Funding Support

  • Assists with administrative support of educational funding opportunities in support of pathway programs (i.e., R25 mechanisms, etc.).

  • Project Analytics

  • Develops a project evaluation plan and processes to ensure implementation meets project goals and objectives. Utilizes data to inform critical project decision points.

  • Conducts and/or supports complex qualitative and quantitative analysis of project data, summarizes findings, draws appropriate conclusions, and effectively communicates results to the team.

  • Other Duties

  • Willingness to assume responsibility for tasks that may be outside of the formal job description, including those perceived as belonging to "lower pay grades," to get the job done. Complete other duties as assigned to fulfill the Knight mission.

  • Contributes to a positive work environment and provides leadership in encouraging such an environment by personal example; maintains the highest ethical standards according to OHSU Policy, including the Code of Conduct; maintains strict confidentiality of all sensitive, confidential, and/or proprietary documents and information.

Required Qualifications

  • Bachelor's degree from an accredited university, which education may be substituted for up to two years of the required experience.

  • Four years of experience as an executive assistant, administrative analyst, researcher or administrative officer which included administrative duties, provision of technical assistance, or operations review.

  • Two of the required years must have included administration or oversight of an on-going project or program.

  • Excellent record of time management and setting appropriate priorities.

  • Self-starter with ability to work independently but collaboratively.

  • Strong critical thinking skills.

  • Strong problem-solving abilities and multi-tasking capabilities.

  • Detail oriented while still seeing the "big picture".

  • Solution-oriented approach to issues.

  • Must have excellent communication, analytical and organizational skills: both written and verbal.

  • Must be proficient with computers running Windows and PC applications e.g. MS Excel, Oracle, Access, Word and PowerPoint).

  • Must have demonstrated excellent customer service skills both on the phone and in person.

  • Ability to use tact and diplomacy to maintain effective working relationships.

Preferred Qualifications

  • College degree from an accredited university; bachelors degree preferred.

  • Three years of project management or program management experience.

  • Oncology and/or healthcare experience.

  • Experience in an academic environment.

  • Experience running educational programs or supporting internships.
