Job Description

Job Summary:

The Program Coordinator is responsible for providing program and administrative support for OCR EASE project deployment.

Responsibilities:

  • Support the OCR EASE project implementation within Global Trade Compliance (GTC) team. Track team deadlines, deliverables, and follow-ups. Maintain awareness of project activities and commitments to ensure different work elements align with one another and fill various gaps when other team members are unavailable.

  • Assist Manager on special IT and other related projects to include help in: design, development and implementation of new systems and methods that relate to existing Line of Business operations.

  • Assist Program and Project Managers by attending key project meetings, taking notes that are a recap of the conversation, decisions made and action items. Schedule team meetings in MS Outlook.

  • Create and maintain project tracking documentation such as the action/issue log. Conduct follow up inquiries as needed.

  • Serve as quick and responsive contact point between program/project stakeholders, handling tasks as appropriate or passing inquiries along to relevant team members.

  • Communicate with international stakeholders and project team members to assist in the implementation of GTC programs.

  • Work in close collaboration with the GTC Program and project managers.

  • Understand GTC related procedures, processes and policies and consider them in project discussions.

  • Assist in coordinating, sending invites, tracking participation in training sessions for all modules and provide the same type of assistance with testing.

  • Assist with making updates to Word, Excel and PPT files.

  • Create and maintain schedules of upcoming due dates for the Program and project managers.

Requirements:

  • Bachelor's degree or equivalent required with a minimum of three years' experience in project management

  • Strong writing and editing skills, particularly in the areas of synthesizing information and tailoring the presentation of information to different audiences.

  • Ability to handle multiple, detail-oriented tasks simultaneously and produce professional work product with limited supervision.

  • Demonstrate considerable personal initiative and a strong analytical mindset.

  • Strong organizational, interpersonal and communication skills in English; team orientation.

  • Computer skills, proficiency in MS-Office, specifically Word, Excel, PowerPoint, and Outlook.

  • Fluency in written and verbal English.

Roles and Responsibilities Include: * Implements corporate and government trade compliance processes through shipment transaction reviews of international movements of hardware, software, data, and services by the company, including export gatekeeping reviews and export clearance/clearance instruction, while maintaining applicable records in accordance with regulatory requirements. * Coordinates and facilitates exports across the organization and external stakeholders, generates or reviews commercial documentation and filings * Communicates export transaction corrective action requirements with internal and external customers for missing or errant product compliance reporting and logistics fulfillment information and analyzes trends to improve delivery cycle times. * Assists, as needed, in planning, scheduling, routing, and tracking export and import shipments within the enterprise TMS, while protecting corporate liability, contract delivery schedules, and quality standards. * Derives and records HTS & Schedule B product classifications for hardware, software, and data within enterprise Export Management System * Assists in internal customer training to support cross-organizational implementation and effectiveness of internal trade compliance controls. * Supports internal trade compliance assessments and audits, including required documentation preparation and reviews with management, auditors, and legal counsel. * Engages in or supports other departmental activities and special projects as needed, to achieve organizational objectives * Provides procurement and contract-level review and guidance for material exports, including verifying export shipments against export licenses and license exemptions, classification, value and other key elements, to support transactional declarations made to CBP and participating government agencies such as BIS, DOS, Census. The ideal candidate will be detail-oriented and highly organized with the ability to multi-task several projects at once. This req may be filled as an International Trade Compliance Analyst or Principal International Analyst based on the qualifications below. Basic Qualifications: Basic Qualifications for a level International Trade Compliance Analyst: * Bachelor's Degree and 3 years of relevant experience or a Master's degree with one year of relevant experience; candidates without a Bachelor's degree will be considered if they have 7 years of relevant experience * Experience in international logistics, operations, or supply chain pertaining to Export/Import, Trade Compliance, Export/Import Regulations, Freight Forwarding, Customs Brokerage * Ability to obtain a clearance (this requires US citizenship) Basic Qualifications for a Principal International Trade Compliance Analyst: * Bachelor's Degree and 6 years of relevant experience or a Master's degree with 4 years of relevant experience; candidates without a Bachelor's degree will be considered if they have 10 years of relevant experience * Experience in international logistics, operations, or supply chain pertaining to Export/Import, Trade Compliance, Export/Import Regulations, Freight Forwarding, Customs Brokerage * Ability to obtain a clearance (this requires US citizenship) Preferred Qualifications: * Bachelor's degree in International Trade, Logistics or Business Administration * Comprehensive knowledge of U.S. export and import compliance reporting processes and implications for business activities * U.S. Customs Broker License holder * Working knowledge of SAP ERP * Experience with automated TMS tools * Knowledge of U.S. HTSUS classification regime * Knowledge of U.S. customs valuation rules and principles * Knowledge of U.S. International Traffic in Arms Regulations (ITAR) * Excellent interpersonal communication skills Northrop Grumman is committed to hiring and retaining a diverse workforce.
