Project Coordinator

  • Name Change Project

Supports Senior and Lead Project Managers on the Name Change Project. May work with internal and external teams and regulators, to ensure the rebranding of the Company in the Medi-Cal, Medicare, and Cal MediConnect markets. Requires monitoring and managing implementation and adherence to a compliance playbook, to meet the 1/1/19 transition date.

Given the high profile and sensitive nature of this work, all program team members will be required to have exposure to or training and experience in any of the following industry standards and best practices

  • Project Management and Rapid Implementations (PMI and Agile)

  • Quality Management (ISO/ASQ/Lean/Kaizen)

  • Operational Management (Six Sigma)

  • Experience working on high priority and/or highly sensitive projects

  • Experience working across an enterprise (5,000 employees and greater)

  • Experience working in highly ambiguous and evolving environments, as well as high profile, urgent situations

This position may require 10 -20% travel

Responsibilities:

  • Creates meeting materials and initial draft of project deliverables (project deliverables are owned and the responsibility of the manager)

  • Builds out visuals as needed to support the team

  • Schedules cross functional team meetings associated to project execution

  • Coordinates stakeholder, legal, and compliance review of and feedback on all materials

  • Coordinates asset production and procurement with internal creative studios and purchasing departments

  • Supports pre- and post-production testing activities and duties

  • Facilitates risk/issue project related sessions to drive to solutions

  • May provide support for budget tracking

  • Maintains project deliverables associated with Project Management Life Cycle

Education/Requirements:

  • Requires Bachelor's degree and /or equivalent and 5 - 7 years of experience branding, communications, or healthcare

  • Previous project coordination experience required

  • Medi-Cal knowledge and experience a plus

  • Prefer knowledge of the health insurance, IPAs, MSOs or ACOs a plus

Other:

  • Able to work in a fast-paced environment

  • Requires 1-3 years of experience live scribing during meetings while facilitating, utilizing web and audio conferencing

  • Requires proficiency (1-3 years) in MS Office Suite (Word, Excel, PowerPoint and Visio)

  • MS Project and/or Planview or similar tool experience a plus

  • Polished and professional demeanor and appearance

Note: Work samples will be required during the interview process

Required Testing: Will want to see work samples

Software Skills Required: MS Office Suite - must be very comfortable with Email, Excel, Word, Powerpoint

  • MS Project and PlanView are a plus

Assists in ensuring members are effectively and efficiently managed through the medical/disease management process as needs require. Within extension of authority, assigns length of stay on acute inpatient admissions, as well as approves specific home health, DME. Process authorization requests and facilitates referrals. Assists with system letters, requests for information and data entry. Provides administrative/clerical support to medical and disease management. Responsibilities: Entry level intake (faxed in auth's, calls left on voicemail) Select support for Case Manager such as mailings, surveys.
