Project Coordinator Job Summary:

Under the general supervision of the Director, Materials Management, the Project Coordinator is in control of converting Supply Chain data making it relevant for Management use. Maintains Supply Chain systems and operations increasing automated transactions with suppliers.

Develops and maintains effective working relationships with system users and provides ongoing support to them, while maintaining internal reports against key performance indicators.

Project coordinator will plan, lead, organize and manage all phases of diverse and complex projects and operational improvements within Supply Chain.


Project Coordinator Essential Responsibilities:
  • Responsible to collect, analyze and summarize data and convert them into relevant information to management. Provides Supply Chain systems support to end users across DKH.

  • Responsible to maintain item master tables, to resolve and decrease the number of inaccuracies between purchase orders and invoices, to increase automated transactions with suppliers, and to provide recommendations for system changes that will facilitate interaction between end users and Supply Chain Systems.

  • Oversees inventory of supplies in Storeroom, monitors usage of inventoried supply items, and processes requisitions for replacement items as necessary to maintain predetermined par levels.

  • Establishes inventory min/max levels, monitors product expiration dates, inactive, and slow-moving stock to maximize stock lines, fill rates and inventory turns.

  • Must be proficient with computerized Materials Management systems, including, but not limited to receiving, distribution, inventory (establishing min/max levels and maintaining accuracy of inventory)

  • Maintain the accuracy of inventory in all supply rooms. Is responsible for conducting accurate physical inventory. Takes action to identify and correct variances as needed.

  • Project coordinator is responsible for the procurement of medical/surgical supplies, equipment and services for all of departments via the placement and documentation of formal purchase orders and transactions following DKH policies and procedures utilizing the MMIS system with a high degree of accuracy.

Project Coordinator Education Qualifications:
  • Associates degree or equivalent from an accredited college or university preferred.
Project Coordinator Experience Qualifications:
  • 3-5 years in Healthcare Materials Management purchasing experience preferred.

  • Prior computer experience with word processing, spreadsheets, purchasing application, web-based ordering and electronic data interchange required.

  • Prior experience with purchasing contracts preferred.

Job Title: Scheduling Clerk Department: Patient Access Position Type: Staff Hours & Shift: 40 Hours | 8:30am-5pm | 40 Hours Weekends: N/A Outpatient Scheduling Clerk Job Summary: Under the direction of the Patient Access Manager is responsible for the efficient and timely scheduling of Diagnostic Imaging services and the daily operations of the scheduling office. Processes coordination of requests for outpatient testing. Acts as a liaison between Physician Practices staff and the Hospital. May also cross train to Pre-cert which is responsible for the organization of a Pre-certification program to assure an organized system of 100% pre-certification of all admissions, scheduled ODS, ACU and DI patients. Reviews Patient Access registration information, insuring accuracy and completeness of data. Runs scheduled services through the Medical Necessity Software and issues Advance Beneficiary Notices when needed. Outpatient Scheduling Clerk Essential Responsibilities: * Responsible for coordinating the scheduling of all Diagnostic Imaging Services. * Communicates with physician offices and patients to verify accurate demographic, clinical and insurance information as needed. * Provides the pre-certification clerk with required insurance authorization information. * Retrieves, coordinates and communicates laboratory results to Diagnostic Imaging department and Physician concerns specific to Diagnostic Imaging testing to allow for optimal use of schedule. * Retrieves and inputs patient data into the scheduling system. Maintains high quality of accuracy to ensure patient safety as it relates to Medical Record history * Cross trains as Pre/cert Clerk. Outpatient Scheduling Clerk Education Qualifications: * High School graduate or equivalent required. Outpatient Scheduling Clerk Experience Qualifications: * Two years Customer Service experience preferred. * Knowledge of Healthcare Insurance preferred. * Knowledge of hospital pre-certification preferred. * Computer literacy required.
