Project Coordinator II

UL Austin , TX 78719

Posted 1 week ago

We are currently seeking an International Project Coordinator in our Austin office. The international project coordinator will work with consultants and clients to obtain regulatory approval for medical devices in the US and abroad.

Project Coordinators are responsible for driving projects forward, from project initiation to final approval by the regulatory authority (e.g., the US FDA) to sell the medical device in that country. This is critical because our clients rely on these approvals before they can commercialize their device.

A successful project coordinator likes working in a fast-paced and dynamic environment, with the opportunity for continued learning and development. The individual must be a critical and strategic thinker, because they will need to identify issues and develop alternatives to problems when they arise. The individual must be a skilled writer and communicator, so they can explain regulatory concepts in a succinct and accurate way. A successful project coordinator will be someone who is organized, able to multi-task and prioritize, take initiative, and become familiar with the regulations for medical devices in specific markets.

  • Establish and monitor project timelines

  • Lead project calls with clients and consultants

  • Ensure clients and consultants stay on deadline during the product document collection and compilation phases

  • Prioritize and delegate tasks to project assistants

  • Help consultants prioritize activities, and work to set and manage client expectations based on consultant workload

  • Communicate project status to clients clearly and concisely on a regular basis

  • Support consultants by addressing frequently asked questions from clients

  • Become the service expert for select international markets within your project team

  • Support maintenance of services: revising proposal templates based on regulatory changes; maintaining and creating documents and guides for better controls over a service, and more

  • Some University education in Business Administration or related field.

  • Two+ years of professional experience, ideally in project management, consultative services, client services, or the medical device industry.

  • Excellent written and verbal communication skills specifically, the ability to write clearly and concisely with accurate spelling, punctuation, and grammar.

  • Customer service experience preferred.

  • Able to take initiative, solve problems, and thrive in a fast-paced business environment, without the need for close supervision.

  • An eye for detail.

  • Excellent organizational and self-discipline skills.

  • Able to prioritize and handle multiple tasks at any given time.

  • Proficiency with the Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).

  • Experience with Microsoft SharePoint, Salesforce, or FinancialForce a plus.
