We are currently recruiting for a Project Coordinator I for our Service & Sales Department. This person will be responsible for providing administrative, customer, and installer support for Corporate Account Projects and Managers. Occasional overnight travel will be required (we estimate approximately 10% travel time).
What you will do in this position:
Performs administrative tasks associated with reviewing project deliverables, such as photos and paperwork to verify scope of work is being adhered to.
Updates Master Spreadsheet daily to ensure project progress.
Provides daily or weekly report of completed installations with any exceptions requiring actionable items noted and responsible party.
Provides support for projects by creating a scope of work and assisting with scope of work clarification to the Training Team, Installers, Sales Support, and Technical Support.
Facilitates a Project Launch Meeting, weekly status meetings / conference calls, and a lessons learned meeting.
Communicates regular status reports and any activity delays to Project Leads.
Ensures installers assigned to project related installations have completed installations as scheduled.
Facilitates connection with Technical Support Representative as needed and ensures issues are resolved in a timely manner.
Escalates issues preventing store opening with a functional audio system to the Manager of Project Management.
Performs administrative tasks associated with preparing training content and documentation. - Ensures equipment's on time delivery to support installation schedule.
Tracks RMA closures for trade-in equipment.
Prepares change orders for charges not included on original PO per invoice approval process.
Represents HME as a SPOC (Single Point of Contact) for at least one Corporate Account, and serves as the primary contact for that customer.
Understands Corporate Accounts' specific ordering and invoicing processes and utilizes LEAN tools to identify waste and improve overall efficiency.
Fields phone calls and email messages from key contacts at Corporate Account to answer process and equipment related questions.
Prepares Quotations or Request for Quotations (RFQ) for customer as needed.
Prepares necessary paperwork to update catalog numbers with new part #'s as updates are needed.
Prepares necessary paperwork to identify Test Stores in the ERP system when Corporate Account is testing equipment.
