The Basic Sciences Division is one of six scientific Divisions at Fred Hutch and is comprised of 30 faculty-led laboratories whose research is focused on understanding the normal molecular functioning of cells as well as the disruption that causes complex diseases like cancer and HIV infection.
The Division is recruiting a Project Coordinator I. The Project Coordinator will work closely with Division administration leads, Research Administrators, and central administration partners to support laboratory personnel human resource activities and provide division operations administrative support. This position supports the hiring process, ensures a smooth on/off boarding experience, completes timely and accurate appointment changes for laboratory personnel and trainees in our HR enterprise systems, provides monthly time reporting support, and serves as coordinator for various general administrative tasks. This position will also develop and maintain resources and process guidance for the role. This is an ideal opportunity for someone that enjoys collaborative work, has great organization and communication skills, excellent attention to detail, and an interest in supporting research.
This role will have the opportunity to work partially at our campus and remotely.

Responsibilities
General job responsibilities:
Initiate, track, and report on new hire requests in the recruiting enterprise system (iCIMS)
Initiate, track, report on hires/appointments for all Division personnel (lab staff , trainees, and nonemployee/guests) in the human resource management system (Workday)
Perform onboarding and offboarding tasks working with Research Administrators to ensure a smooth onboarding or offboarding experience for all Division personnel
Meet and escort new Division personnel on their first day, as needed
Coordinate with central administration partners as needed to ensure correct and timely appointments as funding sources change
Maintain up-to-date Division personnel lists
Update lab web pages with new/departing personnel
Update division webpages with new/departing administrators and faculty
Coordinate receipt of personnel change notices for Division news bulletin
Update membership to Division Microsoft Teams channels
Mange non-exempt employees time sheet reporting
Develop/curate HR-related information resources and create SOPs and guidance documents as needed
Support other Division operation activities as needed, including support for office supply/equipment, mail services, and shared building bulletin boards
Responsibilities for trainee appointments: (postdoctoral fellows, undergraduate students, graduate student, interns)
Coordinate with the Office of Graduate Education (OGE) to confirm graduate student appointments are set- up accurately in Workday
Coordinate staff assignments by working with Research Administrators, OGE, Office of Sponsored Projects, and UW partners
Manage minor/high school intern appointments by working with Research Administrators, parents/guardians. Division faculty, Environmental Health and Safety (EH&S), and HR Business Partner
Set up or remove Non-employee Workday appointments as needed
Manage funding support-driven Workday appointment changes for postdocs or trainees moving between stipend and regular employee positions
Qualifications
MINIMUM QUALIFICATIONS:
BA/BS in related field required.
Minimum of one year post-master's or three years post-bachelor's project coordination experience in a research setting.
Excellent written and verbal communication skills.
PREFERRED QUALIFICATIONS:
Experience with Human Resource hire management in a research setting
Experience working in a security role in Workday
Familiarity with iCIMS
Experience with website editing, Adobe Experience Manager preferred
Experience using Microsoft Teams
Affinity towards process improvement and adoption
Adept with Microsoft Office (Word, Excel)
Strong written and oral communication skills
Skilled at managing multiple communication streams in a timely and organized manner
Demonstrate a strong attention to detail
Demonstratable experience with successful planning, organizing, and prioritizing your work
Ability to navigate complex internal systems and departments
Interest in working on process improvement with team
Ability to complete tasks within assigned deadlines
Exercise independent judgment and make appropriate decisions

The hourly pay range for this position is from $30.30 to $45.43 and pay offered will be based on experience and qualifications.
