Primary Responsibilities

The primary role of this position is to provide high level administrative project support to technical staff and project managers. The following reflects management's definition of essential functions for this job but does not restrict the tasks that may be assigned:

  • Perform clerical functions such as preparing correspondence, reviewing and summarizing reports/data.

  • Coordinating all aspects of meetings as requested (when appropriate create Doodle polls, send Outlook invitation, order refreshments, finalize and distribute electronic materials to attendees, print handouts, attend meeting and capture minutes)

  • Advanced technical editing and formatting of project-related documents such as specifications, technical reports and memos.

  • Serve as point of contact for information requests from staff, clients, and subconsultants.

  • Monitor, track and file large amounts of electronic documentation.

  • Preparing and submitting electronic deliverables for delivery to our clients.

  • Copy and/or scan project-related documents in-house and coordinate sending out larger jobs.

  • Provide project accounting support by updating monthly financial reporting documents.

  • Assist in the management, upkeep and distribution of project schedules.

  • Provide Project Managers with support in the local Quality Program by documenting the performance of Management and QC Reviews, generating and updating the relevant QA/QC documentation and assisting with the development and maintenance of the project filing structure.

VIEW JOBS 1/14/2020 12:00:00 AM 2020-04-13T00:00 Local Unit & Position Description DNV GL - Energy's Energy Insights group is seeking a Project Coordinator to join the Project Operations Team devoted to assisting in all project management duties throughout the organization. This position is located at our office in Oakland, CA or Portland, OR. Tasks May Include * Act as a liaison between project managers and other corporate departments, including Legal, Accounting, Human Resources, Marketing, and Information Technology (IT), helping to ensure compliance with corporate policies and procedures * Serve as administrative assistant by answering the telephone, greeting office guests, processing expenses, organizing webinars, tracking employee trainings, and other ad hoc administrative functions as needed * Provide project execution and control support to Project Staff including: * Assist with regular status reporting and invoicing activities by: reviewing time, expense and accounting reports for accuracy, reviewing subcontractor invoices, maintaining budget tracking information, and preparing invoices according to corporate and client specifications * Assist with project kickoff activities, both internal and client facing to include scheduling meetings, coordinating with subcontractors, creating project templates in MS Word, MS Excel, and MS PowerPoint, and communicating information related to the project * Track outstanding project receivables and when necessary assist project managers to research and resolve issues related to payment of invoices * Enter project-related data into corporate accounting and project management systems (e.g., Oracle, MS SharePoint) * Work with project managers to track execution of work plans, including tracking project deliverable dates and issuing reminders to team members when appropriate * Assist project managers with effective facilitation of team and client meetings, including preparing agendas, taking minutes, tracking action items, and proactively following up on action items * Assist project managers with the proposal process by coordinating with multiple departments to schedule meetings and by organizing proposal components Position Qualifications Requirements NOTE: Please submit a cover letter along with your resume when applying.
