About the Role
The Project Coordinator role will be a skilled project support specialist to join the Project Management Office who supports the organization's portfolio of strategic, operational and mandatory initiatives. The Project Coordinator provides essential support for project management to deliver projects on schedule, within budget, and in scope. Under the guidance of the Project Manager, the Project Coordinator will coordinate smaller components of the overall project management work, create and maintain a variety of project templates, documentation and workbooks, prepare and distribute meeting agendas and minutes, organize, lead and participate in project meetings, and complete other administrative and coordination functions as needed.
DUTIES AND RESPONSIBILITIES:
Project Planning: Assist Project Managers with planning activities to develop and maintain detailed project plans (scope, requirements, success criteria, and dependencies), budgets, and schedules. Help identify and evaluate project risks and prepare contingency plans.
Project Execution: Responsibilities will consist of some or all the following items as needed.
Coordinate smaller components of the overall project, communicate plans, lead working sessions, follow up on project work, and communicate progress. Create, maintain, and compile project documents, send documents for review and approval. Create project travel plans and coordinate travel reservations with Administrative Assistants.
Prepare and distribute meeting agendas and minutes, organize, lead and participate in project meetings. Lead project risk and issue resolution with the project team, update the project risk and issue logs. Update the project decision log and project schedule. Coordinate between Change Management and the project team to identify task workflows, submit project change and service requests, follow up on tasks, and ensure tasks are resolved.
PMO Support: Create, update, and maintain regular or ad hoc project management reports and documentation.
Update project tools and templates for continuous improvement as requested. Support Project Managers to complete system selection processes and documentation which may include Requests for Information (RFI), Requests for Proposal (RFP), scheduling demos, reference checks, and vendor due diligence. Document project decisions during the vendor selection process as needed.
Complete additional project management related tasks as needed.
Project Closure: Coordinate project closure processes on select projects. Finalize the project schedule, ensure change and service requests are resolved, document lessons learned, assist in project audits, conduct closure surveys, and create the project closure report.
IT Governance: Adheres to information security policies and promotes information security within IT and among the banks.
Supports the use of project management by contributing to project teams, completing assigned responsibilities by established milestone dates, and effectively communicating with the project team. Supports and promotes the use of ITIL governance processes, including incident, problem, change, release, and configuration management. Ensures that change orders are submitted for all changes made to the production environment, and that tasks are worked in a timely manner.
This is a Corporate Position which could be located in either Missoula, or Kalispell, MT.
The entry rate for this position is $19.02 per hour (Missoula/Kalispell, MT). All compensation offers are dependent on geographical location, and are analyzed independently, and consider the following: location, years experience, educational background, and existing internal equity.

Minimum of 3 years of administrative or project support experience in a professional office environment is required. Advanced skillset with MS Office products including Excel, Word and with MS Outlook is required.
Experience working in an Agile project management style environment is preferred. Prior IT or banking or working in a highly regulated industry experience is preferred.
Bachelor's Degree in Business Administration, Computer Science, Management, Finance or equivalent combination of education and experience is required.

In-depth dialogues, conversations and explanations with customers, direct and indirect reports and outside vendors can be of a sensitive and/or highly confidential nature. Communications may involve motivating, influencing, educating and/or advising others on matters of significance.
WORK ENVIRONMENT: Must be able to routinely perform work indoors in climate-controlled shared work area with moderate noise level.
Must be capable of up to 10% travel (e.g. 2 days/month) by automobile (as driver and passenger), commercial airlines, rental vehicles and public transportation and be able to lodge in public facilities. Travel will be necessary to conduct the duties of this job, and the employee must have the ability to drive and have proper licensing.

Must be able to work extended hours or travel off site whenever required or requested by management. Must be capable of regular, reliable and timely attendance. Must be capable of climbing / descending stairs in an emergency situation.
Specific vision abilities required by this job include: The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation/inspection of machines and/or using measurement devices at distances close to the eyes.
