DEA is currently recruiting a full-time Project Coordinator to support our Roads and Highways practice in Portland, OR. The Project Coordinator would be responsible for a variety of project-specific duties in a fast-paced professional engineering firm. Duties would include but not be limited to the following:
Demonstrate a high level of customer service when working with both internal and external stakeholders and clients;
Strong attention to detail, critical thinking and problem solving; taking a task from inception to completion;
Ability to compile and analyze data, manage budget/accounting documentation;
Coordinate with internal team and subconsultants to edit and develop scope and fee; reconciling comments with internal reviewers and client; managing adherence to scope, fee and change management; directing and reviewing setup and change order forms;
Coordinate with client and project team to review weekly project charges, track burn rate vs. budget, issue team direction related to budget; monitor and advise PM of overall project status, including MWESB/DBE project goal progress;
Prepare or oversee development of subconsultant agreements and task orders;
Plan, organize and monitor project development to ensure that deliverables are produced efficiently, on time, within budget, and to specified standards;
Maintain effective working relationships with client and internal team for steady flow of work and communication, project schedule, and project milestones;
Develop QA/QC plans and direct implementation, manage adherence, and documentation;
Track on-call contracts and task orders;
Prepare or oversee development and review of project invoices and progress report, including subconsultant invoices;
Oversee formatting and perform quality reviews of large and small documents such as reports, letters, memos, minutes, etc.;
Coordinating and scheduling project meetings, and preparing meeting agendas and minutes.
Minimum of five years of experience in an Office Administrator or Project Coordinator type role.
Experience with contracts and invoicing as well as general accounting practices such as accounts payable/accounts receivable (AP/AR).
Intermediate skills in Outlook, Word, MS Project, Excel, and Powerpoint.
Excellent written and verbal communication skills.
Experience prioritizing competing deadlines.
Experience in an architecture, engineering, or construction firm.
Project management training or experience (PMP certification).
Demonstrated experience leading project teams, including team coordination.
Managing scope, schedule and budget.
Graphics and document formatting experience in Adobe Suite, MS Word.
