OVERVIEW

CME Associates, a CHA company, is currently seeking a Project Coordinator to join our Transportation group in the East Hardford, CT office.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Perform a variety of project administration duties, including financial review and project reporting, preparation of contract and subcontract forms for approval/tracking, and distribution of reports.

  • Prepare and process paperwork necessary for purchase orders and notice to proceeds, prepare client invoice packages, code vendor invoices, assist with certificates of insurance, assist with collections activities, etc.

  • Compile accurate data to prepare reports as needed.

  • Maintain SharePoint sites for projects and programs.

  • Assist with proposal and reports including coordinating technical group inputs, formatting, mail merging, proofreading, shipping, copying, report collating, binding and word processing.

  • Assist project managers and technical staff with project deliverables.

  • Enter information into spreadsheets and databases, perform searches and run reports.

  • Type and proofread memoranda, reports, letters, charts, graphs using word processing, spreadsheet and data management applications.

  • Take notes at meetings and prepares minutes.

  • Interact with employees, clients, subcontractors and vendors etc.

  • Assist in budget and schedule set up and tracking and communication of fee, scope execution, and/or scheduling issues to technical teams.

  • Assist in preparation of project management plans, quality plans/checklists, and health and safety plans.

  • Assist with management of subconsultants and subcontractors including the contracting, COI, AR/AP process.

  • Facilitate and support monthly project reviews including documenting meetings and any action items, and assisting project manager with monthly Estimate at Completion (EAC) forms.

  • Assist project manager in clearing project variances on a weekly basis.

  • Provide support to Group Operations during the financial month close.

EDUCATION AND LICENSURE

  • Associates degree in Business, Finance, Accounting, Engineering or related degree required, Bachelor's degree preferred; or equivalent combination of education and experience.

SKILLS, EXPERIENCE AND QUALIFICATIONS

  • A minimum of 3 years of experience in Project Administrative, Coordinator or a similar assistant project management role required.

  • Understanding of project management process of ascertaining work, executing work, and post-project procedures.

  • Understanding of business systems, financial tracking and other project management systems.

  • Proficiency in Microsoft Excel, Word and Access required.

  • Excellent written, oral, presentation, communication, organizational, and computer skills.

  • Strong ability to function successfully in team environment.

  • Must be extremely organized.

  • Can take direction from several individuals as well as work on a variety of projects simultaneously.

  • Experience with Deltek Vision or comparable Enterprise accounting system.

VIEW JOBS 12/18/2019 12:00:00 AM 2020-03-17T00:00 Primary Purpose Under the supervision of a (Senior) Project Manager, the Project Coordinator is a key member of a project team, working closely with the Project Manager, Technical Services, and Quality Assurance. The Project Coordinator supports day-to-day project activities based on predefined production requirements and communicated project scope. Tasks may include but are not limited to client data management, project set up, scheduling, quote preparation, project file organization, and placing tasks with linguists. ? The Project Coordinator?s primary responsibility is to coordinate the completion of non-client-facing project activities to assist the Project Manager in the successful execution of client projects. This includes resource allocation and task coordination for a variety of localization projects. The Project Coordinator will actively participate in meetings to discuss open and emerging business issues for assigned accounts and make recommendations for improvements. ? Essential Functions Client Service * Support team with regards to client requirements, needs and requests such as asset management, reporting, and meetings ? Project Management * Engage in standard quote preparation * Launch and coordinate standard projects which includes functions such as scheduling, resource allocation, and work assignments * Perform administrative duties which include project closures, Translation Memory updates and folder structure maintenance * Produce reports and develop internal post-mortems to help improve processes and reduce risk * Keep project schedules on track and ensure on-time delivery * Ensure projects are completed within budget ? Resource Coordination * Create and send POs to external resources * Ensure project resources have the necessary tools and information to accomplish tasks * Alert resources of schedule or scope changes * Provide feedback to Vendor Management on external resource performance ? Account Development * Support Business Development, Marketing, Account Management and extended teams as necessary * Support execution of approved account opportunities and their implementation ? Teamwork * Support project team members as necessary to perform and complete daily project tasks * Make recommendations for process improvements to have a positive impact on profitability and/or quality ? Additional duties * Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective completion and shipment of projects.
