Position Overview

Responsible for monitoring multiple internal projects from planning through delivery, including status reporting and troubleshooting. Supports Project Management and Creative Teams to ensure completion of assigned projects on schedule and within budget. Maintains consistency by adhering to standard processes for all projects.

The Project Coordinator works under the direction of the Sr. Project Manager as an integral part of the Project Management Team. This Team creates and maintains creative development/ production schedules, manages deliverable reviews and approvals, Brand Assistance and Approval process (for business partners and vendors), and manages projects within the Brand Creative team, including projects related to:

  • Programs: Gallery, Events (AU, OTC), Corporate

  • Brand Guidelines & related templates

  • New product, program and service ID deliverables

  • Imagery

  • Photography shoots

Responsibilities

  • Maintains Creative team's master project schedule utilizing corporate standard PM software (Smartsheet, Trello, Asana, Excel). Supports team members in planning, estimating, and controlling tasks. Collaborates with team to identify red flags and to find alternative solutions

  • Hold weekly status meetings to keep all team members up-to-date on projects, communicate with the team and ensure all members are on track with delegated tasks

  • Manages the production and delivery of standard assets

Minimum Qualifications

  • 3-5 years of experience in project management in advertising, design, print, production, or marketing agency

  • Must be familiar with the principles of graphic design production

  • Proven verbal and written communication skills

  • Strong attention to detail

  • Customer service oriented and positive attitude

  • Demonstrated ability to multi-task and prioritize responsibilities

  • Must be proficient in Excel

Preferred Qualifications

  • Calm demeanor under pressure

  • Familiar with PC and MAC platforms

  • Familiar with Smartsheet, Trello, Asana, Excel
