About the Position

Global Solutions Ventures (GSV) - a joint-venture partnership between ZemiTek, LLC and Dexis Consulting Group - is implementing the Long-term Exceptional technical Assistance Project (LEAP Global), a mechanism used by USAID to battle against infectious diseases such as malaria, HIV/AIDS, tuberculosis, neglected tropical diseases, and pandemic influenza. This initiative aims to address the complex human resource challenges faced by national infectious disease programs in USAID-supported countries.

LEAP Global seeks to create self-reliant and efficiently managed national infectious disease programs in low- and middle-income USAID-supported countries. This will be achieved by deploying technical advisors and subject matter experts within the national programs. Embedding these experts has been a proven model that has consistently led to the development of national leadership, evidence-based policies, best practices, improved essential systems, effective program implementation, and enhanced coordination with stakeholders, ultimately resulting in self-reliance and sustainability.

GSV is currently seeking a Project Associate (PA) to support the project team - including Dexis HQ-based PMU staff - with administrative and programmatic support in the day-to-day operations of program management. She/he/they will work closely with and provide all required administrative support to Program Manager(s) (PM) and Senior Program Manager(s) (SPM), including administrative, recruitment, procurement, and international travel and logistics support.

The Project Associate must be flexible, customer service oriented, driven, and interested in learning the ins and outs of program management. The ideal candidate will be dedicated to client support, teamwork, and collaborating and learning in order to best contribute to the overall goals and mission of the team.

Responsibilities

  • Support recruitment efforts for staff and consultants including candidate outreach, scheduling interviews, and assisting with employee onboarding.

  • Support project staff with mobilization, invoicing, travel advances, expense reports, reimbursements, professional development fund requests, etc.

  • Update and maintain project trackers for personnel, equipment, invoices, deliverables, and budgets.

  • Collaborate effectively with Dexis home office teams such as HR, recruitment, finance, IT, and AP as needed.

  • Supports project managers in budgeting and forecasting for internal and external reporting.

  • Organize and update project files and documents in SharePoint regularly.

  • Assist PMs and SPMs in drafting inputs for project deliverables and general administrative and logistics support.

  • Arrange travel logistics including flights, hotel reservations, travel insurance, and visas.

  • Edits, formats, and provides input as applicable to project reports for internal and external use.

  • Supports procurement efforts and subcontracts.

  • Works to ensure compliance with project processes and contractual requirements.

  • Helps to identify and resolve common problems, escalating and tracking more complex issues to their resolution.

  • Interact with stakeholders to exchange and gather information to carry out work tasks.

  • Other duties as assigned.

Minimum Qualifications:

  • Minimum of Bachelor's degree in business administration, finance, or international relations preferred.

  • At least one (1) year of professional experience.

  • Exceptional interpersonal, communications, and customer service skills.

  • Ability to effectively support multiple, fast-paced assignments, juggle competing priorities and meet tight deadlines.

  • Ability to produce clear, compelling, and accurate written and oral communications.

  • Interest and ability in learning government contracting procedures and best practices.

  • Ability to solve problems creatively, work collaboratively in a small team, and flexibility to adapt to changing requirements.

  • Ability to effectively and professionally communicate, support, and assist managers, team members, and project personnel.

  • Willingness to work in start-up or close-out, with non-standard hours as needed.

  • Proficient in all Microsoft Office products.

  • Professional Fluency in English.

  • Experience supporting programming with a USAID or government implementing partner is preferred.

Below is the pay range aligned with this position. When creating an offer, Dexis evaluates compensation holistically, triangulating between external market research, our budget for the position, and internal equity to arrive at a figure that is fair and competitive.

Dexis pay range for this role:

$52,500-$52,500 USD
