Overview

The Orlando, Florida office of a regional, AmLaw 100 law firm is seeking qualified applicants for a Project Assistant position working directly with paralegals and attorneys on affordable housing transactions. The ideal candidate is a recent graduate from an accredited 4 year college or university who is considering law school or wants to learn more about the legal profession and is interested in working for 2 years prior to pursuing further education.

Responsibilities

Tasks performed may include:

  • Assisting attorneys and paralegals with all aspects of affordable housing transactions;

  • Performing basic document drafting and preparation;

  • Handling administrative duties to support the legal team in its day to day activities in a wide variety of legal areas;

  • Performing basic research and compiling data;

  • Organizing, uploading, and maintaining digital case files;

  • Preparing closing binders;

  • Assisting with special projects; and

  • Timekeeping.

Qualifications

  • Highly developed organizational skills and the ability to meet deadlines;

  • Ability to keep track of many details and tasks at the same time and adapt quickly to changing deadlines;

  • Familiarity with using computers for organizing and maintaining documents and data;

  • Strong communication skills and the ability to document and present information to paralegals and attorneys;

  • Ability to work independently and in a team environment;

  • Ability to work occasional overtime to meet business needs;

  • Proficient in Microsoft Suite (Word, Excel, Outlook); and

  • Experience in an office environment is a plus.

VIEW JOBS 11/13/2018 12:00:00 AM 2019-02-11T00:00 United States of America - Florida, Orlando Job Summary AECOM is actively seeking a creative, highly-talented Assistant Project Specialist to support various project managers in the Orlando, FL office with project execution related to finance, quality assurance, tracking, coordination, and other components. As a PMA you will support multiple Project Managers with their project management and administrative tasks on a dynamic client account, allowing them to concentrate on managerial and technical aspects of their projects. Responsibilities include, but are not limited to: * Provides administrative support to project managers in such areas as client and subcontractor invoicing, purchase order logs, project set-up, cost accounting, organizing meetings, technical staff coordination, quality management, equipment inventory, and other areas * Assists program and project managers, task leaders, and field personnel by coordinating and tracking project activities such as project schedules and budgets, subcontractor payments and inquiries, financial reports, presentation preparation, status reporting, files, databases, and document control * Assist with gathering information to respond to Expression of Interest (EOI)/Request for Proposal (RFP), entry of the project into Salesforce and help monitor Go/No Go status and preparing the documentation required to support Go/No Go approvals * Assist with Client set up and checking billing entity, document management of key business records as appropriate and project set up in APIC (AECOM Project Information Centre), including support with creation of work breakdown structures * Work with Project Accountants to verify project set up is actioned correctly and timely, to help identify costs incorrectly booked to project which require transfer and to initiate changes to project status including consideration of final invoices, unbilled etc. * Monitoring the schedule and verify end dates are updated, the creation of project deliverables list and method to monitor & control, and with monitoring and administration of change control requests * Assist Project Managers in identifying where spend is incurred outside of contract and support in gathering appropriate approvals in line with delegation of authority * Provide regular reviews to with Project Managers to go through any project issues e.g. remaining contract value against work outstanding, gross margin issues, and adjustments including monthly update of estimates at completion (EAC) * Liaise with Operational Finance to support regular project reporting * Assist in updating billing rates within APIC as appropriate and liaise with Project Billers to ensure accurate and timely invoicing * Review aged debtors report with Project Manager & capture and track actions required * Verify projects comply with AECOM's Quality Management System (QMS) and IS 9000 requirements * May interact with clients, subcontractors, teaming partners and regulatory agencies to exchange information Minimum Requirements * High School Diploma * 3+ years of experience * Candidates should have experience in a similar role, ideally within a Consulting environment * Systems experience on SalesForce and Oracle * Experience of supporting fee earning consulting, legal or project-based teams * Good analytical & problem solving skills essential Preferred Qualifications * Pro-active and demonstrate ability to see things through to the end * Excellent written and verbal communication skills * Ability to be resourceful, hands on and work both independently and as part of high-performing team * Ability to prioritize and manage multiple duties in a fast-paced environment * Some flexibility to work outside normal working hours to meet deadlines * Works independently as well as part of a team; willingness to work with multiple different colleagues on a variety of initiatives * Ability to take initiative and ownership What We Offer When you join AECOM, you become part of a company that is pioneering the future .
