Job Description

Basic Function

This non-exempt employee will assist attorneys in accomplishing clients goals by using organizational, analytical, and communication skills. Position requires individual who has document management and computer technology skills and who pays strict attention to detail.

Essential Duties

  1. Performs assigned factual and/or basic legal research tasks using all available resources including libraries and computer data systems.

  2. Assists with deposition and trial preparation.

  3. Establishes, organizes and maintains pleading boards, attorney trial notebooks, witness notebooks, document indexes and lists. Devises file organization schemes and supervises file maintenance. Prepares exhibits and schedules.

  4. Assists with document productions, including with preparation of privilege and redaction logs; coordinates demonstrative evidence for hearings and trials; cite checks and assists with preparing briefs for filing.

  5. Attends and contributes to organization/section meetings.

  6. Assists with finalizing and submitting legal filings, including service of copies to opposing counsel and court chambers (in person, by mail, and/or electronically).

Other Duties

  1. Attend and participate in training programs for professional development and building technology skills, e.g., Compulaw, LexisNexis, and/or Westlaw training.

  1. Meets the billable hours expectations and adheres to best practices.

  2. Performs other related duties as needed or assigned.

Reporting Relationship

The Project Assistant reports directly to Human Resources or the Office Administrator.

Qualifications

Knowledge and Experience

The Project Assistant must be able to effectively utilize electronic document applications while having the ability to create, compose, and edit written materials. Knowledge of Outlook and Adobe platforms is preferred.

Skills

The Project Assistant must possess excellent verbal and writing skills. Strong computer proficiency is a must, with particular knowledge of Microsoft Word, Excel and PowerPoint. Strong communication skills are a must. The Project Assistant should be familiar with effective administrative processes and possess the ability to manage a multitude of tasks and cases simultaneously. This employee should be able to work independently with minimal supervision, as well as be an effective member of the team. The ability to work with many different types of personalities at all levels of the organization is a must. Strong organizational, multi-tasking and prioritization skills are required, as well as strict attention to detail. This individual will need to meet hard deadlines in a fast-paced environment.

Education

Bachelors degree in a field related to administration or liberal arts preferred.

Physical Demands

Must be able to move around the office up to 15% of the time to make copies, fax, file, etc; Remains stationary at least 75% of the time; This position constantly operates computers and other office productivity machines (e.g., fax machine, copier, printer, etc.); Occasionally required to move documents or files weighing up to 15 lbs.; This position requires constant communication and exchange of information with the Firm attorneys, clients and staff; This position must be able to inspect and observe information on a computer screen at least 80% of the time.

Working Conditions

Office Environment; Position may require some travel including weekend and week-long travel; Overtime may be required.

Tanager is seeking a D.C.-based Project Assistant who will serve as a vital support role for the team and will work with U.S. and Internationally-based staff on all aspects of the business including project management, proposal development, and corporate initiatives. As a networked team, the Project Assistant will work with multiple staff members and be expected to manage a dynamic and quick-paced work environment that requires flexibility, discernment, and a sense of humor. The Project Assistant will report to the Senior Director of Operations. Responsibilities Primary activities include but are not limited to: assist in HR-related duties for projects by drafting scopes of work for staff and consultants, and complete requests for letter of assignments; prepare and submit procurement documentation; prepare and submit payment requests for goods and services; complete travel arrangements, including related visas and documentation; prepare, submit, and/or review expense reports and travel advances; collect approval signatures as necessary for internal and external documentation; provide assistance in preparing, distributing, and filing documents; assist in the preparation and review of internal and external reports; assist in compiling, editing, and distributing project updates; work with project teams to highlight activities and results to share on external channels; and manage information on company website and company social media accounts. In addition, this position will be responsible for coordinating logistics for HQ-based events, and arranging meetings for internal staff/external clients. The Project Assistant will help the President to create, review, and finalize internal and external presentations. This person will also provide administrative and clerical assistance to proposal teams; examples include formatting CVs, collecting documents, assembling proposals. Also, under guidance, they will develop elements of the proposal budget, and serve as a proposal coordinator on new proposals. Qualifications Minimum Qualifications include a Bachelor's degree, preferably in International Development, Agriculture, Economics, or other related field. Demonstrated interest in International Development topics and current issues; relevant educational, volunteer, or work experience in Sub-Saharan Africa, South America, or India preferred. At least six months of work experience in professional office environment. Adaptable, innovative, and driven by a sense of shared success. Able to work independently and in a team setting. Ability to successfully interact and work with all levels of the organization and client in a fast-paced environment. Strong written and oral communication skills, including demonstrated ability to write in a clear, concise, well-organized manner. Detail oriented and self-directed.
