Job Description

Basic Function

This non-exempt employee will assist attorneys in accomplishing clients goals by using organizational, analytical, and communication skills. Position requires individual who has document management and computer technology skills and who pays strict attention to detail.

Essential Duties

  1. Performs assigned factual and/or basic legal research tasks using all available resources including libraries and computer data systems.

  2. Assists with deposition and trial preparation.

  3. Establishes, organizes and maintains pleading boards, attorney trial notebooks, witness notebooks, document indexes and lists. Devises file organization schemes and supervises file maintenance. Prepares exhibits and schedules.

  4. Assists with document productions, including with preparation of privilege and redaction logs; coordinates demonstrative evidence for hearings and trials; cite checks and assists with preparing briefs for filing.

  5. Attends and contributes to organization/section meetings.

  6. Assists with finalizing and submitting legal filings, including service of copies to opposing counsel and court chambers (in person, by mail, and/or electronically).

Other Duties

  1. Attend and participate in training programs for professional development and building technology skills, e.g., Compulaw, LexisNexis, and/or Westlaw training.

  1. Meets the billable hours expectations and adheres to best practices.

  2. Performs other related duties as needed or assigned.

Reporting Relationship

The Project Assistant reports directly to Human Resources or the Office Administrator.

Qualifications

Knowledge and Experience

The Project Assistant must be able to effectively utilize electronic document applications while having the ability to create, compose, and edit written materials. Knowledge of Outlook and Adobe platforms is preferred.

Skills

The Project Assistant must possess excellent verbal and writing skills. Strong computer proficiency is a must, with particular knowledge of Microsoft Word, Excel and PowerPoint. Strong communication skills are a must. The Project Assistant should be familiar with effective administrative processes and possess the ability to manage a multitude of tasks and cases simultaneously. This employee should be able to work independently with minimal supervision, as well as be an effective member of the team. The ability to work with many different types of personalities at all levels of the organization is a must. Strong organizational, multi-tasking and prioritization skills are required, as well as strict attention to detail. This individual will need to meet hard deadlines in a fast-paced environment.

Education

Bachelors degree in a field related to administration or liberal arts preferred.

Physical Demands

Must be able to move around the office up to 15% of the time to make copies, fax, file, etc; Remains stationary at least 75% of the time; This position constantly operates computers and other office productivity machines (e.g., fax machine, copier, printer, etc.); Occasionally required to move documents or files weighing up to 15 lbs.; This position requires constant communication and exchange of information with the Firm attorneys, clients and staff; This position must be able to inspect and observe information on a computer screen at least 80% of the time.

Working Conditions

Office Environment; Position may require some travel including weekend and week-long travel; Overtime may be required.

PRINCIPAL DUTIES AND RESPONSIBILITIES* * Assists with document collection, production, organization and management. * Assists with the maintenance and manipulation of document databases for purposes of facilitating productions, preparing for depositions, hearings, trials, proceedings and Alternative Dispute Resolution. * Assists with the implementation and utilization of eDiscovery applications for purposes of document management and production including redacting and bates stamping. * Assists with the utilization of WH Discovery Solutions Roles and Process Management and Review Methodology. * Updates case management pages, electronic databases and support systems. * Assists senior project assistants, paralegals and senior paralegals with routine preparations for depositions, including the assembly of witness files and reference binders. * Assists with routine preparations for and at trials, proceedings, arbitrations and mediations. Assists with updating indices, chronologies, logs and tracking systems. * Assists with the set-up, maintenance and close-out of case rooms in accordance with best practices. * Assists with establishing logistical support and set up of remote offices to accommodate the needs of the case team for purposes of depositions, hearings, trials and proceedings. * Assists with administrative tasks, including filing, scanning, printing and organization of documents and information. * Attends and participates in training programs for professional development and building technology skills. * Meets the Firm's billable hours expectations and adheres to best practices for daily time entry for client billable work and eTime for attendance and time off requests. * Assumes additional responsibilities as assigned. * Contributes to the Firm's Service Excellence initiative to consistently improve its image internally and externally. * Displays professionalism, quality service and a "can do" attitude to internal members/departments of the Firm as well as external clients and vendors via electronic and print correspondence, over the telephone and in-person.
