Job Title: Project Assistant (Administrative)
CONTRA COSTA ELECTRIC, INC. has a position available as a Project Assistant to support Project Management and/or Contract Administration in the Martinez office.
Essential Duties and Responsibilities:
This position provides the support activities for office and field project administration:
Assist with project set-up and manage the maintenance of comprehensive project document controls
Assist PM with "start-up" and "close-out" meeting requirements, and coordination of periodic job progress meetings (includes creating agendas and taking minutes)
Work with PM to process and manage project billing and compliance documents (Schedule of values, time and material billing, lien waivers, customer specific billing requirements, etc.)
Work with subcontractors to collect monthly billings and compliance documents. Verify electronic processing of subcontractor invoicing and payments. Manage subcontract close-out process.
Work with project team to: respond to RFP's, process drawings, create and respond to RFI's, generate and manage potential change orders and prime contract change orders, assemble and process submittals,
Collect, log and assemble all project close-out documents per customer requirements
General clerical duties including e-mailing, filing, photocopying, mailing, and internal customer service for the Commercial Division
Additional responsibilities as required
This position requires the flexibility to work within other departments of the Company in the Martinez office as well as working directly on project work sites as needed.
1-3 years of prior experience providing administrative support for commercial construction projects is required
Strong team work mentality. The Project Assistant is an integral part of the construction process & helps meaningfully contribute administrative support to the project team resulting in exceptionally executed projects and customer satisfaction.
Strong understanding of project phases from preconstruction to close-out
Strong organizational, record keeping and follow-up skills
Self-motivated, with strong attention to detail and ability to prioritize workflow
Ability to manage multiple tasks and meet deadlines on a daily basis
Ability to identify and meet customers' expectations and requirements
Excellent Oral & Written Communication
Represent company in a professional and positive manner
Proficiency with Microsoft Office Suite & Adobe, knowledge of Lotus Notes and Prolog Manager a plus
Bachelor's degree in related field, applicable experience may be substituted for the degree requirement
