We are seeking a highly organized and detail-oriented individual to join our team as an Entry Level Project Administrator.
Responsibilities
Assisting on tracking quantities, receiving the daily recaps from the Superintendents, and updating a Project Duration Excel Tracking Spreadsheet.
Drafting in Subcontract Invoices into Employee Central once the PM approves the invoice. PM will go into EC after it's drafted to review & approve the invoices.
Compiling data from the Project Duration Excel Tracking Spreadsheet to the OHLA SOV Billing Spreadsheet.
Work together with PMs with drafting Time & Materials spreadsheets related to each project.
Tracking data for the RFI (Request For Information) submittals on a spreadsheet with submitted/approved RFIs on a RFI log spreadsheet.
Tracking data for the drainage/electrical submittals on a spreadsheet with submitted/approved on the drainage/electrical on a submittal log spreadsheet.
Tracking and update insurance documentation from subcontractors.
Acknowledging the receipt of NTOs from subs, and following up with the PMs as needed
Assisting with payment requests in EC for vendors.
Tracking and updating insurance documentation from vendors in EC.
Qualifications
1-2 years in an adminstrative role
Sound judgment, accuracy, timeliness and reliability are key skills required for this position
Professional, dependable and dedicated conduct
Attention to detail and excellent follow-through skills are essential
Responsible individual who is punctual and professional
Strong oral and written communication skills
Excellent organizational, multi-tasking skills
Competencies in use of MS Office
Ability to quickly learn
Ability to hit deadlines
Ability to work in a team setting
Reliable transportation a must
