The Project Administrator is an entry level into the Project Management profession and career path. Under the direction to one or more Project Managers, the Project Administrator is responsible for assisting with a wide range of administrative functions associated with the execution of Information Technology projects and Service Orders from our
Enterprise Project Management Office.
Primary Responsibilities:

  • Collaborate with all members of the EPMO to carry out the organizations Executive Charter
  • Participate in the ongoing review, improvement, and documentation of project management policies, protocols and processes
  • Tracking and reporting project status and performance information
  • Scheduling and managing meeting appointments with clients, contractors and internal stakeholders
  • Processing Service Orders
  • Tracking and reporting project financial information to the Accounting team
  • Project meeting coordination and record keeping
  • Updating project and consultant calendars
  • Preparing client presentation materials
  • Other administrative functions in support of the EPMOs strategic corporate role

  • Applicants must have one to two years related experience or skills and a bachelors degree. A combination of education and experience is acceptable.

This role also assists in the development of various forms of eLearning content. ESSENTIAL RESPONSIBILITIES: * Upload and deploy various types of learning content, such as eLearning courses, video files, documents, and instructor-led training content * Generate and provide daily and ad hoc reports, including monthly compliance reports, to management and senior leadership * Troubleshoot system issues and work with IT and external learning vendors to solve, implement, and deploy necessary modifications * Provide assistance to trainers in technology tools and methods, use of instructional software, and effective uses of multimedia * Point of contact for users experiencing system issues or training related questions * Lead for LMS implementations, deployments, and development projects * Maintain companywide compliance training deployments, track completion records, and generate reports for delivery to management and senior leadership * Update internal training content based on recommendations from SMEs, as well as business and department needs * Maintain Training Department inbox and communications with end users * Design and produce eLearning materials in a variety of formats including graphics, audio, video, and multimedia to support teaching and learning information needs * Apply current research and theory to the practice of eLearning instructional design EXPERIENCE REQUIREMENTS: * Three+ years' working in a training and/or learning development department * Three+ years' experience as an LMS administrator or super-user * Experience in eLearning development and instructional design is a plus * Experience using and administering a cloud-based LMS, preferably Litmos LMS * Proficient in creating SCORM content and using authoring tools such as Articulate 360 and Camtasia * Experienced in identifying and resolving ethical and legal implications of design in the workplace * Strong visual, verbal, and written communication skills * Experience in project management relating to training projects, with the ability to plan, prioritize, and manage daily tasks in concurrence with ongoing larger assignments * Excellent customer service skills, especially when communicating with our internal clients; ability to comfortably interact with employees at all levels * Ability to receive coaching from experienced coworkers and also think independently to help drive change; brainstorm creative solutions and innovative instructional strategies to meet the changing needs of our learners * Ability to collaborate as a team player and work independently with minimal direction * Ability to adapt to changing needs and priorities within the organization; thrive in a growing organization * Proficient in MS Office (Word, Excel, PowerPoint, Outlook), especially with Excel, including strong data collection and reporting experience EDUCATION AND CERTIFICATION REQUIREMENTS: * Bachelor's degree in Instructional Design, Education, Human Resources or equivalent in related field or relevant work experience * Professional Certificate in related field a plus Impac Companies Irvine CA
