The GDIT Peer Review and Science Management business - based in Frederick, Maryland - seeks a Project Administrator II for our Meeting & Travel team. This position will support a contract with the Congressionally Directed Medical Research Programs (CDMRP) under which GDIT manages the scientific and technical merit review of biomedical research proposals received by the CDMRP. Research initiatives managed by CDMRP include a variety of nationally-focused programs such as breast, prostate, lung, and ovarian cancers; neurofibromatosis; tuberous sclerosis complex; autism spectrum disorders; epilepsy; multiple sclerosis; and Alzheimer's disease; as well as military-focused conditions related to the health and readiness of military personnel include Gulf War illness, clinical and rehabilitative medicine, and orthotics and prosthetics outcomes and orthopedic research, among others topics.

As part of its scope of work, GDIT coordinates travel, lodging and meeting logistics for thousands of scientists, clinicians and patient advocates serving on panels convened for the evaluation of grant applications. This position will provide telephone and email support to panel participants prior to the in-person meeting, coordinate with travel and lodging providers, enter and track participant information in our meeting management system, provide on-site administrative support at peer review panels meetings (most are conducted in the DC-Baltimore metropolitan area), and assist with various administrative tasks connected to the conduct of these peer review panel meetings.

Typical tasks:

  • Tracks documents related to peer review including, but not limited to, consulting agreement distribution and receipt, travel arrangement completion, and meeting registration completion

  • Prepares table tents, name badges, seating plans and other materials for peer review panel meetings

  • Assists with coordination of travel arrangements (flights, lodging, local transportation) for meeting participants

  • Assists with setup and management of on-site business office during peer review panel meetings

  • Enters travel itineraries into the company's meeting management system

  • Interfaces with scientific staff, clients, government officials, and consultant reviewers on a regular basis before, during, and after peer review meetings to answer question and provide assistance

  • Assists with peer review-related activities such as administrative compliance review of grant applications, creation of deliverables and other reports and documents

  • Provides assistance in organizing, preparing, and disseminating materials before, during, and after meetings/conferences/site visits

  • Participates as a member of the team in improving and executing repeatable, transferable, scalable, process-driven infrastructure

Required skills and abilities include:

  • Ability to attend off-site meetings in the Washington DC or Baltimore metropolitan area (3-7 days at the meeting venue, several times annually)

  • Strong organizational skills

  • Excellent verbal and written communication skills (and ability to communicate effectively with various stakeholders)

  • Adaptability / ability to change gears quickly

  • Must work well under time pressure, with ability to prioritize tasks and escalate issues quickly

  • Experience with Microsoft Office applications (Word, Excel, Powerpoint)

  • HS or equivalent + 2 yrs related experience (BS/BA preferred)
