Overview

Support in office administration and project administration activities for the LULEP project office (located near LAX) including office reception, supply procurement, project administrative support, project document production (documents, spreadsheets, presentations), and special assignments as needed.

Responsibilities

  • Perform receptionist tasks for the LULEP project office

  • Obtain necessary supplies for the office

  • Coordinate with property owner/manager on matters related to the office, including access, services, deliveries, etc.

  • Support Design Manager, Task Order Managers and other project staff in project administration tasks

  • Prepare and edit documents, spreadsheets, and presentations using Microsoft Office software

  • Gather and assemble materials necessary for document production

  • Meet regularly with appropriate project personnel to discuss support needs

  • Coordinate with vendors and subconsultants

  • Maintain project files

  • Coordinates activities with key support staff located in the regional office in San Diego

  • Provide materials to, and coordinate with, other T.Y. Lin International offices as needed

  • Assists with miscellaneous administrative duties as assigned

Qualifications

Bachelor's degree is preferred. Five years of similar or related work experience required. Must be proficient using Microsoft Word, Excel, and PowerPoint. Strong communication skills required, including verbal, written, and listening. Excellent attention to detail is a plus. Prior administrative and marketing or related experience or internships are desired.

The Division of Biokinesiology & Physical Therapy is looking for a talented Project Specialist - Administrative to join the team. We are looking for a candidate with a Physical Therapy background who has experience in an array of different areas. The selected candidate must be willing to multi-task and enjoy working in a fast-paced environment. The selected candidate will be responsible for, but not limited to the following: * Assists in development and updating policies and procedures, workflows and improving patient access to sites all sites within USC Physical Therapy. Communicates, implements and provides training for all staff as it relates to policies and procedures and workflows. * Participates in evaluation of operations to improve front-end operations, patient scheduling, and registration to optimize billing/collections for patient services. * Responsible for launch of single number, email, with new branding efforts for USC PT and training of all staff to manage increase in calls. Utilizes CMS Supervisor R17 software to evaluate volume and management of calls. * Researches, gathers, organizes, and summarizes data for reports. Analyzes data for trends or conclusions and presents results and recommendations as it relates to front office operations and call center. Reviews reports within EMR to evaluate and analyze conversion rates, referral tracking, authorization, eligibility, and optimize patient access at all sites. * Knowledge of working in a physical therapy clinic with a fast-paced environment. * Must be proficient in medical billing and extensive training in customer service.
