Accessible Education Services (AES) is a division of the Shepard Academic Resource Center (SARC), and administers policies, processes, programs, and services that support equal access to education for students with disabilities. The Program and Testing Coordinator provides administrative support while facilitating the implementation of accommodations for students consistent with AES policies and processes. This position requires the ability to exercise appropriate judgment and discretion without direct supervisory oversight. This position provides outreach and technical assistance to University students and their family members, faculty and staff in the area of student disability accommodations and equal access to education under the Supervision of the Associate Director for AES.

Core Duties

Administrative Support Duties

  • Provide excellent customer service for in‐person, virtual, email, and phone inquiries. Act proactively in bringing information and potential issues to the attention of the supervisor or supervisor's designee.

  • Provide overview of AES services to students and families in person, virtually and via phone and email communications, and assist students in scheduling appointments with appropriate faculty and staff members.

  • Perform data entry and maintain electronic records within AES and University databases with the ability to create reports and analyze data, utilizing a variety of reporting and database systems.

  • Facilitate office administrative processes including AES census lists, AES statistics, and accommodation information in AES databases. Conduct quality assurance assessments of AES data by assessing, analyzing, and applying data to improve accommodation coordination.

  • Oversee and carry out duties associated with scheduling, organizing, and operating meetings and events which includes but is not limited to arranging for services, overseeing the production and distribution of materials, recording minutes, and managing logistics of services.

  • Provide administrative, operational, and transactional support related to policies, processes, projects, programs and services of the University and AES.

  • Manage, schedule, prepare and send electronic mailings for all students receiving disability related accommodations.

  • Oversee cleanliness and organization of exam spaces, ensuring room capacity and set up for facilitating exam accommodations.

  • Serve as a point of contact for general maintenance and other facility concerns for AES assigned offices, including reporting any incidents or potential safety problems to appropriate representatives.

  • Collaborate with AES colleagues to maintain accommodation information on AES website. Maintain and update web‐based AES forms and AES web resources for specific audiences e.g., student, faculty and staff resource hubs and prospective students.

  • Maintain, modify, and/or ensure accuracy of content in various documents, reports, other media, AES databases and shared cloud and network computer folders.

  • Provide administrative support to Associate Director and Access Counselor.

Accommodation Implementation Duties

  • Respond to and be supportive of students and their family members with accommodations, in consultation with supervisor, helping to problem solve and provide referrals to appropriate resources on campus.

  • Primary point of contact point for students with exam accommodations, faculty of students with exam accommodations and academic staff who assist with exam facilitation. Coordinate accommodations for AES registered students with testing accommodations.

  • Schedule and secure exams, set up exam facilitation, monitor services, troubleshoot and problem‐solve as issues arise, ensure that completed exams are sent to appropriate parties, and document the entire process consistent with office procedures.

  • Manage conflict and concerns with faculty and students, in collaboration with Supervisor, regarding accommodations related to exam testing.

  • Assist with outreach by providing educational and technical assistance related to student disability accommodations and equal access to education to University Community; including, but not limited to prospective and enrolled students and their families, faculty and staff.

  • Support accommodation coordination under the direction of the Associate Director and Access Counselor, including research, implementation, proactive monitoring, interdepartmental communication, and follow-up.

  • Facilitate timely procurement or creation and distribution of electronic, audio, braille, enlarged print, and/or other forms of alternate format materials for students.

  • Collaborate with Information Services to maintain existing assistive technology equipment and software. Develop and provide education and technical assistance to UP community members regarding accommodation coordination (including, but not limited to UP stakeholders, students, and families).

Education & Experience

  • Required: Bachelor's degree.

  • Required: Two years of relevant work experience.

  • Preferred: Two or more years of administrative experience related to the support of individuals with disabilities. Relevant backgrounds may include special education, academic advising, student affairs, medical support roles, social work, rehabilitation counseling, or other related fields.

  • Preferred: Experience in higher education.

  • Preferred: Prior experience using assistive technology and applying creative technology solutions in areas involving or applicable to disability‐related accommodations; prior experience related to creating and maintaining accessible digital content.

  • Preferred: Proficiency with matters related to diversity and disability experiences and demonstrated commitment to promoting and enhancing diversity.

  • Or a combination of equivalent education and/or experience.

  • Knowledge of current standards for accommodation coordination to students with disabilities in postsecondary education setting.

  • Knowledgeable of the Americans with Disabilities Act as amended (ADAAA) and Section 504 of the Rehabilitation Act as applied to higher education.

  • Ability to independently exercise judgment and expertise to support University staff and faculty in facilitating the University's commitment inclusive and accessible learning and living environments for all students.
