POSITION TITLE: PROGRAM SUPPORT TECHNICIAN (MULTIPLE POSITIONS)
JOB DESCRIPTION:
The incumbent will oversee program processes and provide support to the Student, Family and Community Supports (SFCS) Division. The incumbent will provide program support to 6 Departments within the SFCS Division in compliance with 20 plus grants in federal, state and district policies, laws and rules. In addition, the incumbent will monitor the Foster Care Program.

ESSENTIAL FUNCTIONS:
Incumbent must achieve the following outcomes with or without reasonable accommodation:
Provides program support for Medicaid, Operational, Title IVA, Title I, CDC and miscellaneous federal, state and local grants.
Provides leadership in professional development to coordinators, managers, directors and school personnel to support the program.
Accesses, designs and utilizes reports from the financial system (Lawson) to assist SFCS Division.
Complies, develops and distributes materials that provide direction regarding program policies and procedures relating to SFCS Division's programs.
Coordinates the collection and dissemination of program information for use by managers, directors, funding agencies and auditors.
Monitors compliance with rules and regulations to ensure program guidelines and funding requirements are followed.
Maintains files, Division inventory, assists in report preparation, answers phones, replies to messages and handles routing paperwork within APS department such as: HR, AP, Grant Management, Procurement, Business Systems, Technology, etc.
Focus Areas:
Fiscal / Funding
Upholds fidelity and intent of multiple grants as it pertains to budgetary compliance
Works with APS Foundation to prepare requests for purchases, P.O.s, reimbursements and maintains fiscal and compliance accountability records of the department's Foundation accounts.
Interprets and monitors budgetary and financial procedures and transitions in accordance with federal, state and district standards and policies.
Analyzes program expenditures under the guidance of the Director of Accountability and Operations in relationship to state, district, SFCS division, and unit goals.
Data & Inventory
Utilizes and manages internal and external data related to the departments within the Student, Family and Community Supports Division's programs, including preparation and analysis of regular monthly reports.
Oversees data entry, monitoring accuracy and completion.
Utilizes the District's inventory management system to input and track Division inventory.
Executive Support
Maintains department spreadsheets, and hiring and job posting processes.
Maintains school allocation FTE database for departments.
Supports staff in data collection/input and related outcomes measures.
Assists with Professional Development trainings for designated role groups within the SFCS division.
Oversees preparation of extended contracts related to grants and additional work for school and department staff.
School Capacity Building and Support
Prepare request for purchases, supports purchasing, fosters compliance with grant and operational funding sources, and supports the maintenance of fiscal and compliance accountability records of department accounts
Utilizes and manages internal and external data related to programs in the SFCS departments, including preparation and analysis of regular monthly, grant and annual reports.
Maintains department spreadsheets, and hiring and job posting processes
Assists with Professional Development training sessions
Provides support, assistance and customer service to various stakeholders
Supports staff in data collection/input and related outcomes measures
PREFERRED KNOWLEDGE, SKILLS, ABILITIES AND EXPERIENCE:
Bilingual
Experience building and conducting training sessions
Experience providing individual and/or team technical and financial assistance
Effective communication skills, both verbal and written
Flexibility, organization, decision-making and problem solving skills
Ability to meet deadlines and work on multiple projects
Computer, business, English and basic mathematics skills (including budget management)
Proficient with training, word processing, database and spreadsheet software
Ability to apply a strategic planning process for multiple and complex tasks
Ability to work with diverse populations and communities
