Primary Purpose of Organizational Unit

The School of Education is an academic unit reporting to the Provost. The School is a major center of research, teaching, and public service within the State of North Carolina, the nation, and the world. The School offers a full range of undergraduate and graduate programs. The mission of the School of Education is to conduct research, and generate basic and applied knowledge about human development, educational technology and entrepreneurship, teaching and learning, school counseling, school psychology, administration, as well as educational policy and leadership; prepare leaders in the profession of education by conducting outstanding research, teaching, and service; and assist in the development of strong and effective public schools in North Carolina. In order to fulfill its mission, the School is organized into three academic divisions: (1) Culture, Curriculum, & Teacher Education (CCATE), (2) Learning, Development & Psychological Sciences (LDPS), and (3) Educational Policy, Organization, & Leadership (EPOL).

Position Summary

Hybrid: This position may be eligible for a hybrid work arrangement that may include a partially remote work location, consistent with System Office policy. UNC Chapel Hill employees are generally required to reside within a reasonable commuting distance of their assigned duty station.

Provide specialized administrative management and support to the School's program coordinators and program area chairs that fosters high-quality, effective, and efficient programs in the School of Education. Duties include but are not limited to:

  1. Manage and maintain all program records including program policies, procedures, and systems; program curricula, courses, and CQI efforts; monitor program course schedules; support program assessment, evaluation, licensure, and accreditation; support development and distribution of program communication materials; etc.

  2. Provide support for prospective and current program students by managing student paperwork related to admissions through to degree completion, including communicating with and tracking prospective students' progress throughout their time in the program.

  3. Track program finances such as student funding information and program expenses.

  4. Maintain functionality of the programs including supply management, equipment maintenance, and mail support.

  5. Provide general administrative support. i.e., scheduling, communication) for program, program coordinators, and program area chairs.


Minimum Education and Experience Requirements

High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Required Qualifications, Competencies, and Experience

  • Strong written and oral communication skills such as in the ability to listen to, obtain, and provide accurate information that is appropriately sensitive and in accordance with University policies, the Family Educational Rights and Privacy Act (FERPA) and other applicable authorities.

  • Ability to work in fast-paced environment with the ability to balance and prioritize multiple tasks simultaneously with appropriate sensitivity.

  • Ability to successfully meet deadlines while exhibiting a high level of attention to detail.

  • Must be able to plan and support the activities of the office/program/area and to be able to coordinate with others to complete tasks.

  • Ability to recognize and solve problems that may be complex and sensitive.

  • Demonstrated ability in working well independently and as a member of a team and apply judgment for problem resolution.

  • Exceptional listening skills and the ability to respond to challenging situations in a calm and deliberate manner.

  • Strong organization skills to maintain, track, and manage program and student records.

  • Strong customer service orientation with all university populations in developing and maintaining positive professional relationships on a team and with colleagues in and outside the School.

  • Must exhibit high ethical standards of conduct and confidentiality and handle sensitive information in a discrete and appropriate manner.

  • Ability to use standard office equipment/software to access, input, and produce reports on a variety of information in different formats.

Preferred Qualifications, Competencies, and Experience

  • Experience as a Program Administrative Assistant in a higher education setting.

  • Experience working with faculty, staff, and college students in a flexible setting.
