Posting Summary

Rutgers, The State University of New Jersey, is seeking a Program Support Specialist for the Office of Cognitive Skills at the Robert Wood Johnson Medical School.

This position provides essential office support to the cognitive skills program and supports the faculty of ALTA. Job responsibilities include an array of tasks including but not limited to scheduling, purchasing, tracking data, hiring tutors, and responding to inquiries. This position also provides coaching to students to improve their self reflection and studying skills.

Among the key duties of this position are the following:

  • Serves as the interface for the Cognitive Skills Program, working closely with faculty and students in all administrative and logistical aspects of the programs' functioning.

  • Provides coaching for students who do not need as much as support as the cog skills faculty can provide but do need assistance in incorporating an arsenal of student tools and self-assessment skills.

  • Makes independent, informed, and timely decisions about how and when to schedule student appointments across multiple class years and programs based upon curricular calendars, faculty obligations, and student needs.

  • Provides office support by assisting visitors, filing, answering phones, and similar activities.

  • Independently manages the process of recruiting, onboarding, and paying peer tutors; provides logistical support for all peer tutoring activities.

  • Coordinates event planning and logistics for all Cognitive Skills Program activities.

  • Manages and reconciles program financial activities and maintains paper and digital records as appropriate for all educational activities. This includes processes in marketplace and with purchase orders.

Qualifications

Minimum Education and Experience

  • Bachelor's Degree plus two (2) years of professional experience involving organization and administrative practices preferably in an educational institution.

  • Must have experience with word processing, spreadsheet, and other office software.

  • Equivalent experience, education and/or training may be substituted for the education requirements.

Certifications/Licenses Required Knowledge, Skills, and Abilities

  • Must have strong communication and organization skills.

  • Must be professional in all interactions including phone and e-mail.

  • Applicants must thrive in a busy office working on a team and able to handle multiple projects simultaneously.

  • Ability to proactively problem solve and follow through on tasks and projects.

Preferred Qualifications

  • Experience with RBHS purchasing rules and software.

  • Website development and maintenance experience.

  • Experience with Peoplesoft and maintaining financial records.

Equipment Utilized Physical Demands and Work Environment

  • Physical Demands: Standing, sitting, walking, talking and hearing. Ability to move simulation mannequins between campus locations.

  • Work Environment: Office environment. Moderate noise.
