Job Description: The Program Support Specialist is responsible for the Entry Level and Post Professional Admissions. Responsibilities include the overall administrative support of the admissions process and coordinating department events, including graduation. The position requires the individual to work independently with minimal supervision and to work effectively as part of a team.

Responsibilities:

Essential Functions:

Admissions Tasks:

  • Work closely with the Director of Entry Level Admissions, the Director of Post Professional Programs and the Office of Enrollment Management throughout the entire admissions cycle

  • Select dates for prospective student Information sessions and coordinate sessions with Enrollment Management and other campus departments

  • Review and update admissions information on the University website and in brochures and course catalogs

  • Serve as first departmental contact for prospective students/applicants by maintaining admissions email account and responding to inquiries about prerequisites, admission requirements, and application status

  • Review all applications and verify that all admission requirements have been satisfied

  • Maintain departmental Admissions database relative to the admission status of applicants

  • Maintain contact with PTCAS, 2U and Enrollment Management regarding the status of applications in the admission cycle

  • Participate in regular Admissions Committee meetings during the application cycle, providing a variety of statistical and comparative information reports from the admissions database for Chair and committee members

  • Orient and coordinate with Admissions GAs throughout the cycle

  • Collect and analyze data regarding previous and current application cycles

General Tasks:

  • Coordinate Physical Therapy Department events with various campus departments

  • Coordinate faculty interviews

  • Prepare the department newsletter and maintain the Alumni Database

  • Post social media content and edit website

Marginal Functions:

  • Monitor Department email account

  • Additional responsibilities as assigned

Qualifications:

  • Bachelor's degree or equivalent combination of education and experience required

  • Minimum of one year of previous professional experience working in an academic or high-level administrative office

  • Advanced PC skills including demonstrated expertise in using Microsoft Office (Word, Excel, PowerPoint and Access) and Google applications.

  • Must possess excellent interpersonal and communication skills, superior judgment and discretion in handling confidential information

  • Must have good organizational skills with the ability to multi-task and work cooperatively with others including faculty, students and administrative staff

  • Demonstrated cultural sensitivity and experience working with diverse populations

  • Ability to work in a fast-paced demanding environment, as a team player; possess a positive working attitude, excellent prioritization, problem-solving and decision-making skills; confidentiality, tact, patience, willingness to help and diplomacy are critical features of this position
