Program Support

Maintenance of the Work Order System

  • Maintains the Computerized Engineering Work Order Management System through DHCP/Outlook. Analyzes incoming computerized or written work orders for compliance with station and FHCC policies and procedures.

  • Screens all work orders for completeness. When work orders are incomplete, incumbent contacts requestor by phone to request additional information. Incumbent evaluates and prioritizes all requests received (verbally or written), codes and then enters (types) all required information into DHCP Work Order System. Properly distributes work orders to assigned shop for execution of the requested work.

  • Monitors the work order system on a daily basis and provides each shop with status of their orders, upon request. Runs computerized printouts by shop areas, listing all work orders over 30 days old. Meet with Shop Forman to verify status reports and makes necessary corrections to keep this information current.

  • Maintains the work order system by monitoring status, closing our work orders when complete, And properly filling completed orders for future reference, if required. All closed out entries are checked for accuracy prior to being filed.

Mail, Correspondence and Reports???????

  • Prints PM schedules monthly for distribution to the shops for required work performance of preventive maintenance tasks. Upon completion of the field work by journeymen tradesmen, makes computerized entries closing out the PM's. Also enters any changes to the system information if changes are noted by technicians.

  • Types general correspondence (memorandums, work schedules, timesheets, training

  • schedules, minutes from various shop meetings, injury reports, construction specifications, etc.) for the Maintenance & Repair Foreman and for the various Shop Foremen, as directed.

  • Copies reports for distribution and sends/receives faxed materials as directed by immediate Supervisor and /or shop foreman.

  • Receives all incoming shop mail twice daily. Makes distribution to appropriate shops by sorting and placing in proper mailboxes located within incumbent's office area.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 05/01/2024.You may qualify based on your experience and/or education as described below:

  • Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Communication and interpersonal relations, including the ability to appropriately and courteously relate to internal and external customer.
  • Maintenance of confidentiality of patient/employee information, electronic and print.

  • The medical center performance improvement program.

  • How to work and function in the medical center in a safe manner, including infection control and the correct operation of equipment.

Education

  • Four years above high school. For GS-5 level positions only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience

Physical Requirements: Work is mostly sedentary and performed inside the clinic. There is some walking, stooping, bending, and lifting of light supply items.

Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
