Summary

This position is under the Sterile Processing Services (SPS) Section of the Midwest Health Care Network (VISN 23) VA Medical Center in Minneapolis, Minnesota.

Responsibilities

Some of the duties and responsibilities of this position include (but are not limited to):
Responsible for a wide variety of functions related to the processes of the SPS department and Reusable Medical Equipment program
Responsible for data by developing, interpreting, planning and applying policy to meet the program metrics and budgets by developing data collection routines and reports
Develop electronic data management systems based on above collections and analysis needed to maintain critical operating information
Maintains accurate inventory of records, makes recommendations for the disposition of records and serves as the point of contact to all SPS employees regarding the maintenance of paper and electronic records
Creates and manages computer access accounts for employees
Communicates and coordinates activities between SPS and facility departments
Coordinates special studies/projects as delegated by the department leaders to resolve process problems identified by management
Organizes meetings as necessary creating invites in Outlook and reserving rooms, preparing agendas and needed equipment
Perform other related duties as assigned Work Schedule: Monday-Friday, 8:00am - 4:30 pm

Qualifications

In order to qualify for this position, you must possess the following: One year of specialized experience equivalent to the next lower grade level in federal service.

Specialized experience is that which has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled. Specific qualifying specialized experience for this position (which should be documented on your resume) is: experience as a Program Support Assistant, Secretary, Clerk or similar role performing customer service; working together on a team; responding clearly to common requests or questions about patient care coordination functions; and interacting with Medical Center staff to support the office by placing work orders, accepting mail and other deliveries, and preparing a variety of recurring reports.

Physical Requirements:
The work is primarily sedentary, although some slight physical effort may be required.

Walking, standing, bending, carrying of light items will be required. There may be occasional travel required both within the facility and to the CBOC's.

Candidates with the following experiences are highly preferred: experience with large healthcare organizations (this is a big role in a very big place), have opened their command center at least twice in the past year (internal and external events), some leadership experience, doing a budget, managing number and bodies. Summary Under the general direction, continuously responsible for managing and directing system wide activities related to HCMC emergency management and the Healthcare Preparedness Program (HPP) for the Metro Region. Directs ongoing, organization wide collection of information about deficiencies and opportunities for improvement in emergency management and support for the environment of care. Participates in system wide activities related to The Joint Commission continuous readiness. Collaborates with educational services to ensure appropriateness & effectiveness of related emergency management orientation and training programs. Ultimately responsible for the administrative management of the Healthcare Preparedness Program grant funding and program management plan for the Metro Region serving the 30 hospitals, 1,800 clinics and 137 long-term care facilities within the seven county Metro Region. Job Functions * Plan, develop, and monitor the Emergency Management Program (EMP) for HCMC and the Healthcare Preparedness Program (HPP) grant funded program for the Metro Region and related procedures for medical center. * Provide direct supervision to HPP - Emergency Management staff in the planning, coordination and implementation of a comprehensive Emergency Management Program. * Provide management and oversight of HCMC Emergency Management Program in accordance with The Joint Commission standards and the National Response Framework as it relates to healthcare facilities. * Provide emergency preparedness management perspective, program interpretation, and related assistance in the planning and technical development of systems for new and existing facilities including the overall supervision of HCMC EMP the Metro Region HPP. * Identify and develop HCMC and Metro HPP budget requirements and project, monitor, and evaluate related expenditures; evaluate requirements, assist in establishing performance standards, and develop specifications for contracted services. * Coordinate hiring, training, and evaluation of personnel and the development of education/training programs to ensure appropriate awareness of emergency management procedures, including incident management, response plans, recovery, policies, procedures, and emergency response guidelines in accordance with HCMC's Emergency Operation Plan and the Hospital Incident Command System. * Participate in community emergency management activities. * Coordinate or participate in county-wide emergency preparedness and /or readiness assessment activities. * Participate in the facility support management team. * Accountable for The Joint Commission Emergency Management Chapter, chairs HCMC Emergency Management Steering Committee that receives and evaluates components of emergency management and preparedness. * Keeps up to date in the field of emergency management through current literature, quarterly and monthly meetings with MDH- Emergency Preparedness & Response, Regional Health and Medical Coalition meetings and attendance at seminars as approved by the department director. * Provides coordination for the review of all emergency incidents, and exercises maintains compliance of the program with established standards by completing After Action Reports & Improvement Plans. * Directly responsible for operational excellence of the hospital wide Emergency Operation Plan and the HPP in accordance with the National Response Framework. * Manages human resources to ensure quality services and promote positive employee relations. * Responsible for the fiscal management of department; ensures proper utilization of organization's financial resources.
