Geriatrics and Extended Care Service (GEC) is seeking a Program Support Assistant (PSA) to serve across our clinical programs, to include: Home Based Primary Care (HBPC) in Lawton, OK. This position is under the supervision of the Administrative Officer (AO) of GEC and provide support to the program's Medical Director, Coordinator and clinical staff within the identified programs.

Responsibilities

The incumbent is expected to make significant contributions to the achievement of the identified programs administrative tasks and will be required to meet the objectives and skills for all phases of health care administration and research, to include: database design, data collection, management, analysis and the writing of reports. In addition, the incumbent performs variety of administrative and clerical duties in the day to day management and operation of the designated program. The incumbent is expected to work collaboratively in an interdisciplinary coordinated care delivery model (i.e., Patient Care Aligned Team (PACT) Model) to facilitate and set priorities, along with deadlines in the flow of work to be accomplished among the team.

Work Schedule: Monday-Friday, 8:00a.m. - 4:30p.m.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/07/2018.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-5 position you must have served 52 weeks at the GS-4. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience and/or education as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:

  • Problem-solve customer complaints/requests both internal and external.

  • Extract medical information and data to prepare a variety of reports/correspondence.

  • Assist with research and collection of information for policy and procedure development.

  • Office automation: Knowledge/use of both Microsoft Outlook and Excel.

  • Qualified typist-40 WPM

  • Compose and respond to various electronic and written requests timely and accurately.

  • Possess interpersonal skills and ability to adapt to changing situations/priorities.

OR,

  • Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have Four years above High School (TRANSCRIPTS REQUIRED).

OR,

  • Combination: Equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements at grades GS-5.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements:
The work is sedentary. Typically, the employee sits comfortably to do the work assigned. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; or driving an automobile, etc. No special physical demands are required to perform the work.

The Program Director oversees day-to-day program operations and is responsible for: budgeting, revenue and cost management, reimbursement, quality management, performance improvement, marketing and community education, and human resource management. The Program Director is responsible for maintaining collaborative and consultative client relationships, integrating programs within the hospital organization and creating effective working relationships within the company, both internal and external to the hospital organization. Program Director Responsibilities: Providing day-to-day management oversight for outpatient clinic, HBO and other wound continuum sites of care, which may include inpatient and outreach. Developing communication methods to facilitate the flow of information and maximize effective communication throughout the program. Managing and/or coordinating all aspects of the revenue cycle including: inquiry conversion, scheduling, registration, treatment authorization, documentation, coding, charge entry, billing, collections and, denial processes. Tracking and reporting all inpatient, outpatient, outreach, HBO and ancillary revenues generated by the program. Responsible for cost management through appropriate utilization and management of labor and supply utilization. Working with Region support team to complete a quarterly financial review and presenting results to hospital leadership. Developing, implementing and consistently executing a marketing and community education plan. Working collaboratively with the hospital to coordinate market specific activities. Initiating contacts and developing key relationships with all appropriate healthcare referral sources as accomplished through routine correspondence campaign, direct mail, press kits and, consistent contact with referral sources through presentation of a minimum 40 patient progress reports and case studies monthly. Recruiting, interviewing, hiring and managing personnel in conjunction with the company/hospital’s Human Resources Department. Establishing performance expectations, providing regular feedback and consistently managing these expectations. Program Director Requirements: Bachelor’s Degree: Business Administration, Nursing or other health related field, Masters in Healthcare Administration or Business Administration preferred and three to five years related experience and/or training; or equivalent combination of education and experience. Supervise 8-10 employees, none of which are supervisors of others. Ability to define problems, collects data, establishes facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
