Duties

The Duties are as follow, but not limited too:

  • The incumbent is responsible for collecting, compiling and/or tracking statistical information and preparing complex data/reports related to the administrative, clinical, and technical aspects of the programs assigned.

  • The incumbent tracks achievement on performance measures, goals, and objectives; receives and processes documents and reports in accordance with established procedures; uses software applications to draw information from a wide variety of sources in order to prepare reports; retrieves a variety of computerized data, establishes protocols for incoming data; organizes and maintains equipment data; and assists in the planning, review, reporting, and presentation of data/statistical results of program studies.

  • Maintains, reconciles, and verifies the quality assurance of reports for the service and performs duties related to the maintaining, tracking and trending data.

  • The incumbent tracks and trends issues related to program effectiveness and implementation; utilizes statistical data to compile monthly workload reports as requested for all program staff; participates in performance improvement activities related to the program quality improvement process; and offers performance improvement advice to program staff.

  • Manages the inventory system for the addition of new equipment, tracking repairs and replacements for equipment in the service.

  • Coordinates the administrative property of the service by performing property management duties: such as the maintenance of records (e.g., equipment inventory list), conduct of periodic inventories, and/or disposal of excess property.

  • Answers questions and recommends adjustments concerning policies and procedures related to property management services.

  • Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication.

  • Performs the following types of duties: edit letters, composes letters and reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines, prepares minutes, and develops standard of form letters and replies to inquiries.

  • Provides general clerical mail and correspondence services such as preparing a variety of recurring reports, reviewing outgoing correspondence for proper attachments, for consolidating/coordinating submittals of information.

  • The incumbent serves as a Timekeeper for the service and as a point of contact for timekeeping procedures and regulations regarding tours of duty, leave, travel requests, etc.

  • The position is a problem solver with the special ability to integrate overall knowledge of the service systems with VISTA applications and to be innovative in the process.

  • The incumbent identifies the appropriate IT specialist to assist with the multiple issues that can affect the network and or Vista Operations and the incumbent is essential to the quick recovery of issues that cannot be solved by the incumbent through entering in work requests and acting as liaison for customers and OIT support.

Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 05/21/2024.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience include but not limited to: experience with clerical and administrative procedures, various office skills; and carrying out day-today administrative support activities; Working in an administrative position which required preparing correspondence, reports and graphs utilizing a variety of computer program. Skill in the use of a variety of computer software such as Microsoft Word, Excel, Power Point and other software applications; Interacting with executive leadership in the VA and private sector, contractors, staff members as well as Veterans, their family members and/or legal representatives; Provide/submit requested information to ensure all due dates are met in a timely and satisfactory manner; Managing a fast-paced office to include, establishing priorities, set up, reschedule appointments; Use own initiative to follow-up on action items and time-sensitive issues with appropriate staff members; Timekeeping in VATAS.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: Work is primarily sedentary, but may require periods of standing during presentations, briefings, speeches, health fair activities, etc., although some slight physical effort may be required.

Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
