Duties

The Program Support Assistant works independently with some guidance from the Chief, Office of Community Care (Chief, OCC) and will exercise good judgment in the resolution of a multiplicity of problems which present on a daily basis. The incumbent acts on their own initiative and is responsible for high level of customer service to community providers, Veterans and other staff. Other duties include, but are not limited to:

  • Coordinate Veteran community care, provide directions, telephone calls and correspondence to/from Veterans and staff at the Boise VA and other Non-VA community providers.

  • Performs clerical work for Utilization Management (UM) such as developing spread sheets, data collection, working on projects, taking phone calls, helping to coordinate Veteran care.

  • Determines eligibility guidelines are met for the Veteran.

  • Modifies and retrieves sensitive information/data for the electronic medical records, scheduling systems and/or reports.

  • Coordinates administrative information between the professional clinical staff and the patient.

  • Utilizes knowledge of medical terminology, medical procedures, office automation systems and Community Care regulations to obtain pertinent information from patients and VA staff to process authorizations for Veterans.

  • Collaborate, communicate, set priorities and organize the work in order to meet deadlines.

  • Confirm Veteran appointments at receiving community care facilities.

  • Processes all incoming and/or outgoing mail and ensure that all incoming mail is properly sorted into established groups for distribution to appropriate departments and/or staff.

  • Ensures incoming and outgoing correspondence are handled in accordance to local, regional and national policy.

  • Strong computer skills with knowledge of Microsoft Office, CPRS, VISTA Web and Vista

Imaging.

  • Assume responsibility for the confidentiality of the medical record and data information.

Work Schedule: Monday-Friday, 08:00am-04:30pm

Physical Requirements: The majority of work is sedentary but may require walking, standing, bending and reaching,

carrying light medical/office supplies. Up to 6 or more hours per day will be spent using a keyboard and computer. Duties require frequent use of telephone, fax, copier and printer.

Work Environment: Work is performed in an office setting (cubicles) at the Boise VAMC. Employees will be in close

contact with other employees in the department.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/08/2024.

GS-05 grade level: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Specialized experience includes: Performing duties related to the receipt, intake, scanning, indexing, quality control, destruction, and transfer of health and administrative information. Electronically scanning various health information documents and reviews documents for appropriate scanning criteria. Utilizes computer and software applications for record retrieval and researching reference materials, regulations, and standards to address any issues. Utilizes knowledge of medical terminology, medical procedures, performs timely filing, retrieval, and clerical duties associated with the retention maintenance, disposition, guardianship, and control of electronic health records. Note: Experience must be fully documented on your resume and must include job title, duties, month & year starting and year ending dates AND hours worked per week. OR,

Applicants may substitute education for the experience required for the GS-05 level.

Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed 4 full years above high school or equivalent degree in any field for which high school graduation or the equivalent is the normal prerequisite . This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school (Transcripts Required) OR,

Applicants may also combine education and experience to qualify at the GS-05 level: Applicants may also combine education and experience to qualify at this level. You must possess equivalent combinations of successfully completed post high school education as described above that demonstrates my ability to perform the duties of this position. For the GS-05, only education in excess of 60 semester hours (2 years) is creditable. If you qualify by a combination, your experience must be detailed in your resume and transcripts are required.
