Duties

  • Provides general support to HBPC team and serves as point of contact for patients, medical center staff, VISN staff, community agencies, and others.

  • Assists with developing proposed proposals/projects.

  • Drafts memoranda, minutes, reports, and policy revisions.

  • Maintains files and comparable functions requiring effective liaison with all administrative and clinical services throughout the medical center and extending to the community and family members.

  • Collects, compiles and/or tracks statistical information in support of program operations.

  • Uses software applications to draw information from a wide variety of sources in order to prepare reports.

  • Assists in the planning, review, and reporting of data/statistical results of program studies.

  • Collects, enters, and manages data including both patient data and program data.

  • Assists Program Director in the development and management of fiscal and utilization reports.

  • Maintains calendar of appointments of patients, meetings, conference calls, and scheduled leave.

  • Coordinates meetings.

  • Prepares travel papers.

  • Schedules conferences.

  • Assists Program Director with all administrative functions.

Work Schedule: Monday - Friday 8:00 - 4:30 pm

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement.

Preferred Experience: Experience in a long-term care environment and experience supporting remote workers. You may qualify based on your experience and/or education as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS 4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Drafting memoranda, minutes, reports; Maintaining files; Collecting, compiling and/or tracking statistical information; Experience with Microsoft Excel, spreadsheets; Maintaining a calendar of appointments, meetings, conference calls, and scheduled leave; Use of verbal and written communication skills to deal with a variety of diverse population. OR,
  • Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed 4 years above high school in any field for which high school graduation or the equivalent is the normal prerequisite. This education must be obtained in an accredited business, secretarial or technical school, junior college, college or university. OR,
  • Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education that demonstrates the ability to perform the duties of the position. For GS 5, only education in excess of 60 semester hours (2 years) is creditable. If you qualify by a combination the experience must be detailed in your resume and transcripts are required.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: Involves standing, walking, kneeling, bending, squatting, lifting and carrying of light items 25% or more of the time.

Additional information

Participation in the seasonal influenza program is a requirement for all Department of Veterans Affairs Health Care Personnel (HCP). It is a requirement that all HCP to receive annual seasonal influenza vaccination or obtain an exemption for medical or religious reasons. Wearing a face mask is required when an exemption to the influenza vaccination has been granted. HCP in violation of this directive may face disciplinary action up to and including removal from federal service. HCP are individuals who, during the influenza season, work in VHA locations or who come into contact with VA patients or other HCP as part of their duties.

Pursuant to VHA Directive 1193.01, VHA health care personnel (HCP) are required to be fully vaccinated against COVID-19 subject to such accommodations as required by law (i.e., medical, religious or pregnancy). VHA HCPs do not include remote workers who only infrequently enter VHA locations.
