Duties
Major duties include, but are not limited to:
Program Support Services
Tracks Measures of Performance (MoP) and Measures of Effectiveness (MoE) through an operational quality metrics collection program
Inputs and contributes to the required annual Mail Management Expenditure Report
Oversees and participates in operations of all mailroom equipment
Serves as point of contact for printing, publication, procurement, distribution, and maintenance of stock levels and those for in-house reproduction
Ensures mailroom staff is trained on safe handling and use of equipment, staff practice safe lifting and good safety habits pertaining to their line of work
Utilizes electronic data processing systems as integral parts of material control, record, and data communications
Operates personal computers to perform records search, data input, and data corrections
Mail Processing and Management
Serves as the Team Lead for the mailroom staff and provides support in all aspects of mail operations
Provides support in the development of mailroom Internal Controls, identifies issues and problem areas with current internal controls and provides input to mailroom leadership for process improvements
Processes incoming mail to ensure correspondence is delivered timely and accurately to the correct recipient(s)
Ensures mailroom staff safeguards and secures all forms and each piece of correspondence by ensuing strict adherence to federal regulations and internal controls
Coordinates the printing and reproduction of training and presentation material
Serves as Alternate Contracting Officer Representative's for the Mail and Imaging Section(COR)
Scanning and Imaging
Oversees and participates in MS imaging and scanning operations
Ensures equipment is maintained and imaged documents are stored and destroyed per regulations
Assures the quality and accuracy of work and is responsible for all quality, statistical and workload reports
Assistant to the Supervisor
Serves as back up to the Mail and Imaging Supervisor in the operations of the Mail and Imaging Branch
Monitors work of the team and provides input to the supervisor regarding organizational performance
Resolves simple and informal complaints, referring more serious unresolved complaints to supervisor for resolution
Monitors employees time and attendance by updating and maintaining VATAS (VA Time and Attendance System) and sublog entries
Provides support and participates with interviews for vacant positions
Creates routine process documents such as SOPs, JAs (Job Analysis) and other mail room policies
Provides on-the-job training of new employees and conducts informal training to provide backup skills for use in cross training
Conducts regular checks and spot checks of work of the team
Work Schedule: Monday through Friday, 8am-4:30pm
