Performs moderately complex (journey-level) administrative and supervisory program work. Work involves assisting in establishing program goals and objectives; assisting in developing program guidelines, procedures, policies, rules, and regulations; assisting in developing schedules, priorities, and standards for achieving program goals; and assisting in evaluating program

activities. Supervises the work of others. Works under general supervision, with limited latitude for the use of initiative and independent judgment.

Provides administrative technical support for the Chief Nurse Executive. These processes may include collaboration with other data coordinators, department heads, or institutions.

Work will include coordination with Administration Support Technicians with general clerical work. The employee exercises judgment in assembling and organizing information and maintaining files of

classified materials and confidential information. Detailed instructions are received only when changes in procedure are made or unusual circumstances arise.

Provides computer support and instruction for staff as assigned. Assists

the Chief Nurse Executive in assignments as requested. Immediate supervision is provided by the Chief Nurse Executive. Acts as backup to post

all nursing services vacancies to all user email group for in-house transfer requests; collects and organizes transfer requests for the hiring committee to review; ranks applications of potential Direct Care worker new hires, calls

previous applicants' employers for reference checks and schedules interviews for the hiring committee; coordinates observation times required of all direct care applicants; completes all paperwork required by the Job Center on new

employees.

Performs other duties as assigned. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.

Essential Job Functions:

Completes Primary Source Verification on all Licensed Staff; Ensures renewals are complete in a timely manner; communicates with Nursing Administration when License Staff fail to renew prior to expiration. 5%

Oversees the work of assigned unit clerical staff; Supervises the work of others; Confers with staff on program issues and problems. 15%

Monitors monthly expenses for patient supplies and unit supplies for units including Admissions, Supervisors Office, Mesquite, Cottonwood, Oak and Red Oak. 10%

Assist Chief Nurse Executive in researching and compiling information for Governing Body Reports, Nursing Salaries, Proposals for new projects for staff and patients. 5%

Schedule and coordinate travel for patients outside facility care and discharge to home or other facility. Monitors and reconciles all travel records to confirm the accurate paperwork is completed and received. 5%

Completes clerical duties as assigned including coordination of staff appreciation events and coordination of all unit clerical staff coverage. Familiarizes self with Joint Commission Standard. 10%

All patients, staff and visitor are treated with respect during any interaction including staff meetings and patient visits. 5%

Demonstrates effective communication of information to Nursing Administration, Nurse Manager, Department Heads and Clerical staff. 10%

Acts as Data Coordinator for Supervisor's Office, Admissions, and Nursing Administration by submitting all necessary computer paperwork to Information Management. 10%

Acts as Property Location Coordinator by tracking all equipment in Building 504. 5%

Coordinates meetings with staff to inform them of new or improved processes. 10%

Employee actively participates and/or serves in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation which includes scribing communication during incidents/drills and giving directions to clerical staff. 5%

Maintains confidentiality of the hospital's patient health information. 5%

Performs other duties as assigned. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.

Knowledge Skills Abilities:

Must have excellent organizing skills -ability to rank and organize concurrent tasks.

Must have excellent communication skills, both verbal and written.

Must have excellent automation skills - articulate in Excel spreadsheets, PowerPoint, Word, and ability to use email and internet efficiently.

Must be able to treat all contacts with professional demeanor and maintain confidentiality.

Must be able to capture complex content and produce coherent analysis in the minutes of assigned meetings.

Must have a good knowledge of English spelling and grammar.

Knowledge of administrative procedures

Registration or Licensure Requirements:

Valid Driver's License. Initial Selection Criteria:

Minimum of 1 year managerial experience

Minimum of 2 years administrative support experience

College classes in a Office Management or Nursing may substitute for one year of experience.

Additional Information:

Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, and HHS OIG list of Excluded Individuals/Entities. Males between the ages of 18-25 must be registered with the Selective Service.

All applicants must be at least 18 years of age to be considered for employment at a state-operated facility. Waco Center for Youth applicants must be 21 years of age.

Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours.

Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required. According to the Centers for Disease Control and Prevention, healthcare workers are considered to be at significant risk for acquiring or transmitting hepatitis B, measles, mumps, rubella, varicella (chicken pox), tetanus, diphtheria, pertussis (whooping cough), and influenza.

All these diseases are vaccine preventable. As a result, state hospital policy requires employees be vaccinated according to their level of contact with individuals. In the event you choose to not be immunized for the influenza virus, you may be required to wear a mask and take other protective measures.
