GENERAL DUTIES

Manages data collection, data integrity, and regulatory reporting.

  • Computes monthly medication dosages/costs and submits billing to accounting.

  • Accrues expenses for reporting to management.

  • Ensures charges are entered for patient accounts.

  • Inputs data into regulatory agency portals for UNOS, CMS, CrownWeb, NHSN, TJC, FACT, AABB, and other regulatory reporting requirements

  • Inputs and analyzes data ensuring integrity of databases.

  • Compiles data for admissions and keeps logs for statistical analysis.

  • Serves a key role in the research of current trends and models relevant to the department.

  • Maintains current knowledge and awareness of organizational and regulatory standards, policies, and procedures.

  • Engages in continuing education of research policy/guidelines.

Organizes and manages projects related to the operation of the department.

  • Coordinates various projects and evaluates project progress and prepares reports.

  • Prepares program meetings and tracks attendance.

  • Coordinates interdepartmental and intradepartmental organization-wide research projects as required.

  • Assists with the development of protocol-specific training/standard operating procedures (SOPs) for research staff and clinical staff as appropriate.

  • Develops best practices and tools for project execution and management.

  • Prepares and develops program materials including spreadsheets, reports, and presentations.

  • Assists with draft budget proposals and project budgets.

  • Program account support to include contract administration and program retention.

  • Communicates concerns to the director and assists in facilitating solutions.

Communicates with multi-disciplinary teams to achieve department and project goals.

  • Promotes a learning environment that enables staff to make contributions to function effectively by collaborating with the multidisciplinary team to ensure consistent goals for the unit.

  • Collaborates with others in the coordination of tasks and activities.

  • Develops and maintains relationships with internal and external stakeholders that support and further partnerships.

  • Collaborates in setting strategic plan including goals and objectives.

  • Participates in Quality Assessment and Performance Improvement (QAPI)

  • Approaches others in a tactful manner.

  • Treats others with respect and consideration regardless of their status or position

  • Reacts well under pressure.

  • Fosters teamwork and champions service excellence

Provides administrative support for various departmental services.

  • Prepares forms for physician billing.

  • Coordinates appointments, referrals, and education for patients

  • Maintains patient charts and ensures accurate and proper documentation including consent.

  • Ensures staff are up to date on education and nursing skill requirements.

  • Maintains department activity calendar.

  • Participates in program job and benefit fairs.

  • Completes administrative tasks correctly and timely.

  • Maintains the appearance of the department.

  • Performs all other duties as assigned.

EXPERIENCE QUALIFICATIONS

  • 1-year work experience in project management or data management; EPIC knowledge base

EDUCATION QUALIFICATIONS

  • Bachelor's Degree or 3-5 years of experience in an administrative assistant type role
