Position Summary

Under the direction of the Program Manager and/or the general direction of the Program Director, the Program Representative, assists with all aspects of the creation and implementation of various in person, online or hybrid courses, certificate programs, special events, and lectures.

The Program Representative is responsible for programming courses in UCLA Extension's Enrollment Management System, working with ITS and the web team to ensure quality control of courses on the public facing website, and overseeing courses syllabi/modules quality in the Learning Management System (Canvas). Duties may also include course research, creation, and implementation with the assistance of the Program Manager, instructor relationship management and assisting with the monitoring of academic quality of the courses. Additional responsibilities include drafting certificate review reports, compiling new certificate proposals, compiling instructor and campus course approval documents, generating instructor contracts, generating various reports, assisting Program Manager and/or Program Director in performing market research on potential new programs, contacting advisory board members and coordinating advisory board meetings, general customer service for students, instructor or staff inquiries, and other duties as assigned.

  • UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations.

Ability to independently set priorities and organize workflows and proactively adjust deadlines where appropriate to deliver programs and achieve organizational goals; Ability to complete a variety of duties effectively under multiple deadlines, fluctuating workload, changing priorities and frequent interruptions. (Required)Communication skills sufficient to be assertive, courteous, objective, clear, and diplomatic under difficult circumstances with staff, students, and instructors; Ability to speak effectively on a one-to-one basis and in group settings, using appropriate vocabulary and grammar to obtain information, explain procedures, and make presentations. (Required)Ability to provide excellent internal and external customer service with attention to promptness and a focus on solutions; commitment to treating others with fairness, equality, dignity, and respect. (Required)Superior writing and editing skills using proper grammar to compose and edit correspondences, marketing materials, and reports in a clear and concise manner. (Required)Excellent interpersonal skills to ensure respectful, effective, and cooperative interaction with students, instructors, and other staff members and other persons of various social, cultural, economic, and education backgrounds. (Required)Demonstrated proficiency with emerging technology, including working knowledge of Outlook, Word, Excel, and PowerPoint to prepare correspondence, reports, spreadsheets and presentations; Knowledge of various applications such as Office 365, Box, Zoom, Modern Campus Destiny One, Salesforce, Zendesk, DocuSign, and Slack. (Required)Ability to maintain databases, spreadsheets, and websites with accuracy and thoroughness. (Required)Ability to make appropriate decisions when assisting with student or instructor requests, and discernment in determining when involvement is necessary by immediate Supervisor or Program Director; Good analytical skills to understand how business needs can be addressed through the design and delivery of continuing education programs; Working knowledge of conducting needs assessment for programs preferred. (Required)Math and budgetary skills sufficient to assist with monitoring program expenses and preparing course budgets and reports. (Required)Ability to handle confidential and sensitive matters with discretion, tact, anddiplomacy. (Required)Working knowledge of delivering public continuing educational programs and trends in the field. (Preferred)Ability to speak effectively on a one-to-one basis and in group settings, using appropriate vocabulary and grammar to obtain information, explain procedures, and make presentations. (Preferred)

Education, Licenses, Certifications & Personal Affiliations

Bachelor's Degree in related area and / or equivalent experience / training (Required)

Special Conditions for Employment

Background Check: Continued employment is contingent upon the completion of a satisfactory background investigation.Age Requirement: Candidate(s) must be 18 years or older to be eligible to be hired.Ability to work in-person in Westwood Village campus and the Downtown Los Angeles campus locations, as needed. (Required)5% Ability to travel to off-site locations to attend opening of classes, open houses, and other program related events.
