Bellingham Technical College invites applications for one full-time regular classified Program Office Coordinator for the Open Doors Youth Reengagement (IMPACT!) Program. This position reports to the IMPACT! Youth Reengagement Program Director. This position is anticipated to start about August 1, 2024.

Under general direction of the IMPACT! Director, this position will perform work using knowledge and experience specific to the IMPACT! Program, exercise judgement in interpreting and applying rules and regulations, independently provide information to students, staff, programs participants and the public regarding program content, policies, procedures, and recommend alternative courses of action. Additionally, this position will project, maintain, initiate, and approve expenditures on program budgets.

This position works with Instruction in program planning, coordinating, and monitoring program activities to determine consistency with program goals. This position also communicates with K-12 representatives to coordinate student enrollment and reports, interacts with prospective students, and responds to general public inquiries about the program. Additionally, this position supports the daily function of the BTC Assessment Center by covering breaks and time-off for Assessment Center staff.

Position Duties & Responsibilities

  • Provide program information and advice to students, staff, program participants and the general public regarding program content, policies, and activities;

  • Prepare written or electronic communications to send to partner school districts;

  • Serve as program registration lead for students and school district registrars;

  • Assist in the preparation, compilation, and coordination of monthly enrollment reports to local school districts with the Program Director;

  • Cover as Assessment Center proctor for scheduled breaks, lunches and paid time off of full-time employee;

  • Maintain test proctoring certifications and knowledge;

  • Perform daily data entry in web-based database regarding student attendance and program participation;

  • Perform complex word processing tasks such as merging and sorting, integrating text with graphics, uploading and downloading materials and creating footnotes and outlines, and use spreadsheet and database software to develop and maintain records;

  • Attend meetings as programrepresentative;

  • Verify eligibility of prospective students;

  • Curate and maintain a welcoming and secure learningenvironment;

  • Prepare and organize program classmaterials;

  • Maintain confidentiality and security of program and student files and database records;

  • Order supplies and materials for the department and confirm delivery of items;

  • Use word processing, graphics, statistical, spreadsheet, and database software;

  • Perform complex scheduling including independently prioritizing needs of program clients;

  • May perform other duties as assigned.

Qualifications

Minimum Qualifications:

  • High school graduate or equivalent AND
  • Minimum two years of recent, full-time clerical experience with increasing responsibilities over time in an office setting; clerical or administrative work that includes working with the public and/or students.
  • OR An Associate degree or higher AND minimum one-year recent employment in similar setting and/or educational setting;
  • ORa combination of experience and training that provides the applicant with the knowledge and skills to perform the job will be considered.

Preferred Qualifications:

  • Associate's Degree or higher AND one-year experience working in college assessmentand/or testing experience utilizing computer testing and preparing statistical assessmentreports;

  • Recent experience using Microsoft OfficeSuite;

  • Ability to troubleshoot computer technical issues and maintain data managementtools;

  • Evidence of ability to work under pressure, prioritize competing demands, and beflexible.

  • Demonstrated ability to support the success of individuals with varied academic abilities and social identities.

Physical Work Environment:

Typical office environment; frequently listening to and talking with students, faculty and other staff members either in person or by telephone; frequently sitting at a desk or workstation using a computer display, keyboard, and mouse; frequently moving between office space to Assessment Center building.

Supplemental Information

Compensation, Benefits and Work Schedule:

Effective July 1, 2024, the salary is in accordance with the negotiated agreement with the Bellingham Education Support Team (BEST), Range 8, $4,261 per month ($24.49 per hour), with annual increments to $5,351 per month ($30.75 per hour) after five years of BTC experience in this position.

Leave is subject to the BEST negotiated agreement which expires June 30, 2026. This position receives 8 hours per month of sick leave and starts with 10.67 hours per month (16 days per year) of vacation leave, 24 hours of personal leave and 12 paid state/college holidays per calendar year. The vacation and personal leave are available after successful completion of a 180 worked day probationary period. Benefits also include a Washington State insurance package including medical, dental, vision, life insurance, and long-term disability; a retirement benefits package, with choice between the Public Employees Retirement System (PERS) Plan 2 or 3, up to five days of bereavement leave, depending on relative, up to 5 days birth/adoption leave, military leave per RCW 38.40.060 and paid civil/jury duty. Additional optional benefits include ability to participate in a medical Flexible Spending plan, Limited Purpose Flexible Spending plan, or Health Savings Account; Dependent Care Assistance; auto and homeowners insurance discounts, employee only tuition waiver assistance; and two voluntary investment (not matched) programs - TIAA (403b) or the State Deferred Compensation (457) plan.

The regular work schedule is generally Monday through Friday, 8:00 a.m. to 5:00 p.m., but may be scheduled during the 7 a.m. to 6 p.m. workday; schedule may vary, especially around quarter start, end and peak dates, and may require some overtime hours. The position will be expected to work onsite full-time.
