Description

The Program Manager, Epic/IT Internal Communications reflects the mission, vision, and values of NM, adheres to the organizations Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines and all other regulatory and accreditation standards. Leads the development of comprehensive internal communications plans for Epic and IT initiatives, working directly with the IT and Informatics leadership teams. Provides plan recommendations to the Director, Communications and obtains the necessary plan approvals. Works with Epic and IT to determine the key point person for each element in the plan and delivers on plan completion. Description

  • Acts as the teams Epic and IT communication advisor and content developer.

  • Develops internal communications campaigns for their system level initiatives, authors and edits articles, letters, presentations, emails, and other communications, and oversees design and presentation of materials to decision makers.

  • Develops deep understanding of communication plan construction and how elements fit together for maximum impact.

  • Holds quarterly plan reviews (as appropriate) with client partners in Epic/IT to discuss changes in objectives, strategies and/or tactics.

  • Advises on communications issues and shares best practices, if applicable.

  • Utilizes excellent project management capabilities.

  • Creates timelines for each tactic in the plan and manages them to ensure delivery.

  • Presents materials, as appropriate, to client partner for feedback, input and approvals.

  • Utilizes project management software to manage programs.

  • Monitors the effectiveness of communications tactics through various reports and dashboards.

Qualifications

Required:

  • Bachelors degree.

  • 7-10 years of communications experience developing and implementing actionable communications plans preferred.

  • Strong project management skills, including ability to scope and assess requirements in any given situation.

  • Seasoned client/stakeholder management skills, ensuring alignment among key decision makers before proceeding with a plan or campaign.

  • Outstanding team building and interpersonal skills, in complex team-oriented environments.

  • High energy professional with `can do attitude and a team spirit, combined with a great attention to detail and strong professionalism.

  • Experience in healthcare or IT.

Preferred:

  • Minimum 5 years experience in a hospital/group setting

This is a Full Time position 80 hours every two weeks, benefit-eligible Position Highlights: Road Home Program: The Center for Veterans and their Families at Rush (ROAD HOME PROGRAM) is a clinical resource center dedicated to assisting and supporting current service members (Active Duty, Reserve and National Guard), veterans, and their families, with vital clinic services focused on PTSD, TBI counseling and therapies. ROAD HOME PROGRAM will provide those services in support and collaboration with existing veteran and service member organizations. The Practice Administrator exemplifies the Rush mission, vision and values, and acts in accordance with Rush policies and procedures, including complying with customer service and performance standards. Position Responsibilities: Strategic Impact * Leads Department to achieve RUMC and RUMG goals and strategic priorities. * Provides input towards strategic and operational planning. * Identifies industry opportunities and threats and recommends strategies to address. * Oversees implementation of approved strategy. * Sets policies and procedures within Practice(s). * Collaborative relationship with providers regarding Practice operational issues. * Partner to Medical and Section Directors. * Consults with colleagues in other Practices and external colleagues for best practices, workflow, policy and process feedback. * Partner with Legal, Compliance, Marketing, patient services, HR, Vyridian, Rush Health, Medical Staff Office, etc. to achieve goals. Inspirational * Must be a member of hospital or RUMG committee or task force. * Recommends changes to practices and policies based on identification of best practices, trends, technology, etc. * Builds understanding and acceptance of change, including using influence with Chair and other providers. * Supports front line managers to ensure the staff understands changes, including new procedures & protocols, and appropriately delivers new services. * Assure patient care coordination and transitions. Operational * Uses broad-based understanding of RUMC & RUMG to navigate operational issues. * Responsible for converting organizational goals into Practice specific goals. * Implements operational goals to drive results. * Authority to make decisions on standard Practice issues in concert with clinical leadership and Department Administrator as applicable. * Monitors key performance indicators, scorecards, patient feedback, and financial reports to ensure the Practice remains on course to meet or exceed operational goals. Makes adjustments to Practice activities as necessary. * Understands and supports providers' productivity challenges and implements practices and workflow changes to alleviate them. * Motivates staff to perform at their highest level and effectively holds staff accountable for delivery of high quality services including patient care, access and satisfaction. * Ensures RUMC, RUMG, department and Practice policies and procedures are consistently followed. * Contributes to budget development based on Practice operational knowledge. * Participate in developing Capital budget as it pertains to Practice. * Knows, tracks and manages budget drivers (including staff costs and overtime). * Ensures equipment and supplies needed by Practice are readily available. * Ensures operations are in line with budget expectations and justifies report variances to administrator/manager. * Understands business reports and responds appropriately. * Analyzes new business opportunities and impact on staffing and schedules. * Identify trends, and underlying issues and institutes Practice changes to resolve problem. Patient Care * Supports providers in the delivery of exceptional patient care and achievement of quality standards and goals. * Ensures work design and workflows support the goals of patient care and provider needs. * Includes all staff in quality initiatives and implements clinical systems in an efficient and effective way. * Tracks Practice level quality results, patient safety goals and environment of care and institutes changes as necessary. * Works with Department leadership team to monitor and address patient experience feedback. * Ensures safe work environment. * Participates in institutional Quality Assurance or Quality Assessment programs. * Responsible for patient experience in the Practices. * Reviews, researches and resolves Practice specific patient complaints and concerns. * Identifies patient feedback with broader department/RUMG impact and shares problem and proposed solution with Department Administrator/AVP. * Authorizes service recovery/goodwill token to patients. * Creates an environment that puts patient at center of practice. Position Qualifications Include: * Bachelors degree in pertinent field. * Minimum 3-5 years healthcare administration, hospital or Practice experience. * Experience in ambulatory setting preferred. * Strategic leadership and business analysis experience. * Knowledge of business management principles including strategic planning, resource allocation, financial analysis and human resource modeling. * Strong communicator with ability to influence provider and staff. * Ability to identify, troubleshoot and resolve problems in a complex environment. * Relies on experience and judgment to plan and accomplish goals. * Keeps up with current development and trends in the area of expertise. * Must maintain current state of IL licensure if applicable. * Experience working with military rank structure, military families, protocols and culture preferred. Strong preference for honorably discharged veterans, Military Reserves, or veteran family members (mother, father, brother, sister, or son/daughter) is a plus.
