This is a full-time staff position at the High Point University Workman School of Dental (WSDM). This role is pivotal in supporting the Director of Digital Dentistry and AEGD in the administrative tasks. We are looking for an individual who embodies exceptional organizational skills, patient management, project management, and the ability to anticipate needs and provide solutions proactively.

The Program Manager will collaborate with the postgraduate programs by reviewing applications, on-boarding new residents, and collaborating with financial and human resources teams to ensure the optimal functioning of both programs. This position coordinates and oversees the scheduling for resident schedule and rotations and faculty activities for the programs. Details of functions are enlisted below.

Candidates must successfully pass a background check that is satisfactory to the University. This person will report to the Chief Innovation Officer/Associate Dean for Innovation.

QUALIFICATIONS

It is strongly preferred that the candidate have prior administrative experience, along with relevant experience in a residency program or student clinic.

Preference may be given to a candidate with previous experience in health professions or higher education settings.

Additional knowledge, skills, and abilities preferred for this role include:

  • Financial knowledge and skills to support faculty and Program Director with real-time performance metrics.

  • Knowledge of best practices in project management, adaptability, leadership, and risk management.

  • Strong HR skills (Workday) and the ability to resolve conflicts within the staff team.

  • Proficiency with word processing, scheduling, EPIC software, and presentation software such as Microsoft 365, Teams, Zoom, Outlook,

ESSENTIAL FUNCTIONS

The candidate selected for this position will perform all duties directed by the program directors and will be expected to perform the following duties, including but not limited to:

  • Supervises clinical and administrative staff, ensuring adequate scheduling and coverage for providers.

  • Woks with staff members to coordinate patient scheduling for faculty practice as needed.

  • Manages on-call schedules for both residency programs.

  • Coordinates training for clinical staff, ensuring compliance with policies and procedures.

  • Organizes the weekly schedule for Dental Assistants.

  • Oversees staff time and attendance, approving leave requests, time entry corrections, and monitoring compensatory time/overtime in accordance with policies.

  • Organizes team meetings and resident activities.

  • Collaborate with finance and business teams to maintain and update the operating budget.

  • Monitors and optimizes billing and collections.

  • Schedules external clinic visitors, including all communication necessary to process HR forms and obtain approval.

  • Provides consultations for treatment plans, fees, and financial arrangements.

  • Oversees staff training on Electronic Health Record systems for new and existing employees.

  • Runs monthly reports to the Program Director.

  • Serves as a communications liaison between clinical staff and faculty.

  • Maintains accurate and complete files to include status of licensing documentation, BLS and/or certifications, CV, HR documentation, etc.

  • Works closely with Program Directors, managing and organizing the recruitment process for upcoming residents.

  • Manages onboarding of new residents serving as the main point of contact for the Admissions Office, enrollment management, and campus HR.

  • Manages processes to ensure residents are supplied with required items for their program of study.

  • Oversees the management of inventory, including major equipment purchases.

  • Facilitates shipping, tracking, and receiving of all lab cases.

  • Ensures compliance with pharmaceuticals and dental materials through the Monthly Inspection Report.

  • Ensure compliance standards are consistent with the Commission of Dental Accreditation (CODA) and High Point University.

ACCOUNTABILITY:

  • This position will report to the Chief Innovation Officer/ Associate Dean for Innovation.

  • Evaluation: Ongoing performance reviews are conducted along with an annual assessment which includes input from the program directors, faculty, personnel, and learners.
