The Division of Medical Genetics has an outstanding opportunity for a Program Manager (Administrator-Program Operations (E S 8)).

This is an exciting opportunity to be an essential part of a recently launched fee-based Master's degree program in Genetic Counseling at the University of Washington in Seattle. The Genetic Counseling Graduate Program (GCGP) is in its third year and offers an 18-month synchronous, cohort-based curriculum with a strong commitment to diversity, anti-racism, equity, inclusion, and justice.

The GCGP is housed within the Department of Medicine and Continuum College. Its primary leadership includes a Director, an Associate Director, and a Director of Fieldwork Education.

The staff includes a Program Assistant. We expect to admit 18 students for each class. The GCGP is accredited by the Accreditation Council for Genetic Counseling (ACGC) and prepares its graduates for certification by the American Board of Genetic Counseling (ABGC).

This Program Manager position reports to the Program Director. The Program Manager is responsible for ensuring GCGP functions occur reliably and in accordance with University and program requirements.

Primary responsibilities include, but are not limited to, administrative support for University processes, records management, GCGP admissions process, reaccreditation through ACGC, participating in budgeting, communications, event planning, student recruitment, admissions, retention, and student advising. This position is expected to exercise independent judgment, solve problems, document processes, and execute program initiatives that support the training of genetic counseling graduate students and the needs of the program faculty.

The Program Manager contributes to the University of Washington's educational mission by supporting a graduate program that trains future genetic counselors for careers in healthcare. The Program Manager uses detailed knowledge of University, Graduate School, and GCGP policies to ensure the program complies with accreditation standards while also upholding its mission, vision, and values. The Program Manager coordinates day-to-day program operations and interfaces with students, faculty, program staff, and university stakeholders to ensure the sustainability of the GCGP.

This is a full-time, in-person position at the University of Washington Seattle campus. Up to 40% remote work may be approved; this may vary seasonally.

DUTIES AND RESPONSIBILITIES

Admissions Process 35%

Oversee and coordinate the GCGP admissions process (organizing and distributing application materials to the admissions committee, facilitating meetings, participating in admissions review processes, and conveying admissions decisions to applicants).

Manage outreach and recruitment activities for GCGP.

Develop and implement recruitment communication strategy via web, email, social media, and/or print.

Represent the program at recruitment events.

Advise prospective students regarding program prerequisites and application procedures.

Ensure timely pre-processing of applications received for each admissions cycle.

Continuously learn about and advocate for implementation of diversity, anti-racism, equity, inclusion, and justice best-practices in graduate admissions.

Program Operations and Planning 35%

Propose and implement strategies under the direction of GCGP Program Leadership for program evaluation including collecting data to measure program effectiveness, implementing program improvement initiatives, and reporting results to stakeholders and outside entities.

Participate in annual budgeting processes.

Coordinate student events including new student orientation, capstone poster presentation forum, and graduation.

Coordinate GCGP faculty development events, workshops, programs, seminars, learning communities, and conferences.

Coordinate GCGP messaging through written communications and annual reports.

Supervise purchasing for GCGP operations and events.

Identify opportunities to increase diversity, anti-racism equity, inclusion, and justice in GCGP.

Facilitate student onboarding for fieldwork rotations (HIPAA training, vaccinations, background checks, site-specific requirements).

Coordinate student observations at rotation sites.

Monitor status of affiliation agreements.

Program Management 15%

Develop, implement, and oversee the administration of processes and systems that support GCGP's education initiatives.

Support the Program Director in directing and managing strategic communications.

Research, understand, and provide guidance on University and Graduate School policies and procedures.

Support the GCGP leadership team in efforts that ensure compliance with federal and state higher education regulations and compliance with Accreditation Council for Genetic Counseling (ACGC) standards of accreditation.

Support implementation of new strategic initiatives as defined by program leadership.

Continuously learn about and advocate for implementation of diversity, anti-racism, equity, inclusion, and justice best-practices in graduate education.

Academic Advising 10%

Support Director and Associate Director in advising of graduate students to ensure effective student progress toward GCGP learning objectives, degree requirements, university deadlines, and required paperwork for graduation.

Perform administrative tasks that support delivery and evaluation of the GCGP curriculum.

Manage quarterly course time schedule.

Support student matriculation, onboarding, registration, and graduation.

Advise students on availability of resources and student services and connect them with support resources as needed.

Provide administrative support for student orientation, informational sessions, and recruitment events.

Research and communicate to students about financial aid and scholarships opportunities.

Other Responsibilities 5%

Conduct other GCGP related duties as assigned.

MINIMUM REQUIREMENTS

Bachelor's degree in business or educational administration or equivalent education/experience.

At least three years of experience with progressively increasing responsibility as an academic administrator, program manager, graduate program advisor, or related role.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Strong interpersonal communication and collaboration skills with an ability to work professionally, productively, and collegially with a broad range of stakeholders.

Participation in some events outside of regular business hours (e.g., evening information sessions, graduation, etc.).

Experience collaborating in a professional setting with people from diverse backgrounds.

Excellent oral and written communication skills.

Ability to work independently with a high degree of reliability, accuracy, and productivity.

Experience with project management.

Problem solving skills and independent judgment.

Ability to interpret and communicate to others complex policies and procedures.

Computer proficiency with spreadsheets, excel, word processing and databases in a Windows/Mac environment.

ADDITIONAL REQUIREMENTS

Master's degree in higher education administration or related field.

2 or more years of experience as a University of Washington Graduate Program Advisor.

Experience with UW Graduate School systems (e.g., MyGrad, Slate, IASystem, Kuali, etc.).

Experience working with International Student Services.

Experience with process documentation.

Experience with specialized accreditation of university programs.

Advanced skill with Microsoft Office Suite, especially collaborative tools, such as SharePoint.

Experience in the methods and systems of continuous quality improvement.

Previous work or experience in promoting diversity, anti-racism, equity, inclusion, and justice.

CONDITIONS OF EMPLOYMENT

The position may require the employee to occasionally work outside of regular business hours (e.g., evening information sessions, recruitment events, etc.) and may intermittently require evening and weekend time to meet project deadlines. May require both in-state and out-of-state travel.
