Position Summary

Under the direction of the Director of Community Engagement, the Program Manager will project manage the University of California Office of the President's (UCOP) Certificate Completion Grant. The UCLA Extension proposal addresses three areas of high need and growth in the workforce: substance use disorder counseling; data science; and early childhood education.

The three certificates offered by UCLA Extension that prepares students for these jobs are the Alcohol and Drug Abuse Counseling Certificate, Data Science Certificate, and Early Childhood Education - Associate Teacher Certificate. UNEX will offer these three certificates to a broad, more diverse audience, with supportive funding. The goal is to extend our reach to a more diverse population so they can access these certificate programs without financial barriers.

The Program Managers develops, plans, implements, and oversees recruitment activities for prospective students for these aforementioned programs, collaborating with community partners, and providing operational leadership to the academic and administrative departments at UNEX to implement the grant.

The Manager provides critical support in the following areas: planning and leading outreach activities, managing communication and relations with community partners, event and course planning and development; development and implementation of marketing campaigns and strategies (in consultation with Marketing department); budget management, analysis, & coordination; and consulting academic units for course, certificate and program planning, development and implementation for cohorts of students funded by the UCOP grant. In addition, the position will provide pre-enrollment advising, as needed, to ensure student retention and success in their certificate program.

Main responsibilities include partnering and providing operational leadership and support to academic departments with managing the day-to-day course administration and implementation from start to finish - serving as a higher-level trouble-shooter for program departments regarding logistical problems and ensuring that all deadlines are met and that students and instructors have a high-quality experience. This includes, instructor management (including sourcing, recruitment, hiring, and onboarding), communication with community partners, and overseeing/supporting programs student enrollment, informing students and instructors about all aspects of course implementation; managing courses in the Course Management System; managing course logistics and operational needs (textbook order, AV equipment, and implementing course evaluations, data management, etc.). They will also be a primary point of contact for program students throughout their certificate experience and experiential learning including internship placement support.

They will follow-up with students to track progress and job attainment post-graduation. Externally, they will manage relationships and maintain communication with potential employers and corporate sponsors, as needed. Lastly, they will be assigned special projects and assignments as charged by the Director and/or management leadership of the Dean's Office.

Salary & Compensation

Qualifications

3 years Minimum of related experience in program management in an academic, higher education, and / or continuing education setting. (Required) Ability to provide excellent and thorough customer service to external and internal clients; highly experienced working with diverse communities, respond to customer needs and expectations in a supportive and professional manner, with attention to promptness and a focus on solutions. (Required)Ability to independently organize workflow, set priorities, meet reasonable deadlines, and proactively adjust deadlines where appropriate and practical. Demonstrated skills in independently performing duties and effectively setting priorities under conditions of frequent interruptions and shifting priorities. (Required)Highly skilled and experienced in coordinating and implementing programs by working with community partners, staff, and instructors in executing operational needs. (Required)Advanced, dynamic, and effective leadership skills sufficient to be assertive, courteous, objective, and diplomatic under difficult circumstances. (Required)Thorough ability to communicate effectively on a one-to-one basis and to groups, using appropriate vocabulary and grammar to obtain information, explain procedures and make oral presentations; Ensure respectful, effective, and cooperative interaction with students, instructors, and other staff members. (Required)Ability to make independent and appropriate decisions, and discernment in determining when involvement is necessary by immediate supervisor or Program Director. (Required)Thorough analytical skills to conduct analysis and develop recommendations, demonstrating organization and problem-solving skills. (Required)Thorough writing skills sufficient to compose course descriptions, advertising copy, reports, correspondence and other written materials which are grammatically correct, and clear and appropriate in style, length, and content. (Required)Demonstrated computer proficiency including working knowledge of Windows, Word, Excel, and Power Point. (Required)Skill in planning and preparation of fiscal budgets, including comparative trends, for use in budgetary review meetings. (Required)Ability to analyze financial data to identify relevant information, identify patterns, tendencies, and logical conclusions; recognize alternatives and their implications. (Required)Ability to speak and communicate in additional languages (i.e. Spanish). (Preferred)

Education, Licenses, Certifications & Personal Affiliations

Bachelor's Degree Bacherlor's degree in related area and / or equivalent experience / training. (Required)
