Overview

The Program Manager supports and coordinates all undergraduate research programs and activities within the Office of Undergraduate Research (OUR). The Program Manager reports to the Director of Undergraduate Research. Housed in the Office of the Dean of the College (ODOC), OUR supports undergraduate involvement in research and creative inquiry during all stages of a Princeton degree.

The Program Manager manages the financial accounting of OUR's operational budget, portfolio of endowed funds, as well as multiple research funding programs.

The Program Manager is responsible for the coordination of highly visible campus-wide undergraduate research programs and symposia, including the management of the application and awarding process of multiple central undergraduate research funding opportunities.

The Program Manager assists with all aspects of organizing OUR-sponsored events, including information sessions and workshops, open houses, ReMatch mentee-mentor meetups, Summer Research Colloquium weekly programming, and end of summer conference.

This role provides day-to-day administrative support to the Office of Undergraduate Research and assists the hiring, onboarding, and training of student workers and temporary employees.

This role requires someone who has strong technological, organizational, and communication skills, who is process-oriented, and excels in a dynamic workplace.

Responsibilities

Financial management and accounting (40%):● Manage the financial operations of the office as well as several campus-wide programs including the Senior Thesis Research Funding program, ReMatch, Princeton Correspondents on Undergraduate Research blog, Princeton Research Day, Undergraduate Fund for Academic Conferences, ReMatch+ and Office of Undergraduate Research Student-Initiated Internship Program (OURSIP), and the Summer Research Colloquium.● In collaboration with the Director, prepare yearly operating budget and program-specific budgets.● Process financial transactions, track expenditures, prepare financial reports and budget forecasts.● Prepare and approve electronic expense reports, payment requests, and requisition. ● Coordinate all undergraduate research award disbursements, ensuring program participants, vendors, and programs receive payments in a timely fashion.● Assemble annual report of undergraduate research awards and liaise with Donor Relations for stewardship purposes.

Undergraduate research programs coordination (30%):

● Coordinate and support all OUR programs (see list above).● Update and implement all program timelines, online materials, application forms and processes in SAFE and GPS.● Assemble proposals for review, track awarding process and completion of travel, human and animal research compliance requirements, process and reconcile award payments, coordinate return of unspent funds with student recipients, and verify completion of post-project requirements.● Respond to program inquiries from undergraduate students, faculty, and administrators.● Direct management responsibility for the senior thesis research funding activity in SAFE; schedule funding cycles and communicate deadlines and policies with other campus funders; co-lead training sessions for administrators and student applicants.

Event planning and coordination (15%):

● Direct responsibility for the logistical management of OUR-sponsored events including scheduling, venue selection, catering, AV needs, preparing participant materials, and event signage.● In collaboration with the Director, develop event budgets. Track expenses and ensure the careful and appropriate management of funds and resources.● Create and collect event metrics to assess events success over time, identify areas for improvement, and work to grow participation in OUR programs.

Administrative office support and communication (15%):● Serve as the first point of contact for the office's in-person visitors, phone calls, and email inquiries from the OUR and senior thesis service accounts; exercise judgment in bringing urgent matters to the Director or Assistant Director.● Coordinate staff meetings including scheduling, preparing agendas and related materials, and taking meeting notes. Manage office calendar. Maintain office supply inventory and order supplies. ● Coordinate the onboarding process and training of casual hourly/temporary employees.● Support the hiring process of Princeton Correspondents on Undergraduate Research, OUR undergraduate communications assistants, and SRC program assistants; review and approve timesheets in JobX, centrally track expenses.● Create and update content on OUR's online platforms, including the office website and instagram account, as needed and in consultation with the Director and Assistant Director. ● Review and publish entries to the Princeton Undergraduate Research Calendar.● Manage the central summer undergraduate research programs database.

Qualifications

Essential:

  • Bachelor's degree or equivalent

  • Five or more years of relevant work experience supporting an academic department or program.

  • Ability to take initiative, work independently, establish priorities, balance multiple demands, meet deadlines, and be attentive to detail.

  • Must be a competent and creative problem solver, process-oriented.

  • High level of proficiency with Google Drive, Docs, and Sheets, Outlook email and calendar, Adobe Acrobat, Drupal, and Zoom.

  • Excellent command of Prime, Concur, SAFE, and GPS.

  • Strong work ethic, with high degree of personal responsibility and reliability.

  • Excellent oral and written communication skills.

  • Proven ability to develop and maintain professional, collaborative working relationships with a wide range of campus partners.

Preferred:

  • Knowledge of Princeton, Princeton's undergraduate program and administrative structure.

  • Familiarity with JobX, Qualtrics, and Tableau.

  • Experience with Princeton's system applications, including PeopleSoft.
