The Role

Zume, Inc. is looking for an exceptionally bright, multitasking and self-motivated Executive Assistant to support the SVP for Software Engineering and the VP of Global Data Strategy. The position is based in our Seattle, WA office. This is a vital role to Zume, Inc. and requires proactive engagement with a distributed team across various cities and requires proactive support of the executives with a mastery of time management, calendars, travel, events, expenses and productivity improvements.

What You'll Do

  • Effectively and proactively manage multiple complex calendars according to changing team and company priorities, while anticipating conflicts and solving scheduling issues with high attention to detail and effective communication

  • Respond quickly to requests and communicate effectively, adjust schedules on the fly to accommodate executive needs

  • Adapt quickly to changing executive, team and company priorities, while being able to anticipate and proactively suggest solutions to conflicts

  • Handle day-to-day administrative duties: Prepare and edit internal and external correspondence and presentations, assemble documents and supplies as needed to support department activities, help track and drive completion of deliverables and follow up on outstanding items

  • Coordinate and schedule domestic and international meetings, travel and lodging as needed

  • Prepare and submit personal, department related, and executive's expense reports

  • Stay abreast of developing needs and requirements and act as an information source for the executives: Develop and contribute to a comprehensive knowledge of general office procedures at Zume

  • Serve as a key member of the leadership team and be a positive contributor to the full team's culture and experience of the team

  • Work closely with the Chief Technology Officer's Executive Assistant, to assist in the coordination of company-wide and department initiatives, various meetings, events, all hands, leadership meetings and other ad hoc needs

  • Work closely with executive assistants within the company and Engineering and Product Development team on projects, events and initiatives

  • Look for opportunities to streamline the executives' workflow

  • Perform other job duties as assigned

Who You Are

  • 5+ years' experience as an Executive Assistant, preferably in a technology start-up environment or comparable fast-paced operations

Associates degree required, Bachelor's degree preferred

  • Maturity: Exhibit the highest level of confidentiality, discretion, integrity and trustworthiness with sensitive information. Ultra-dependable. Always able to positively represent your executives and Zume.

  • Structured in approach: Analytical, organized and conscientious while still able to be flexible, patient and open-minded, in times of shifting priorities

  • A self-starter: Seek to identify and resolve problems in a timely manner and with maturity; be collaboratively creative and a proactive problem-solver

  • A great communicator: Strong written and verbal skills; use tact and diplomacy when interfacing different personalities within and outside of Zume

  • Technically Skilled: Proficient with Microsoft Excel, Word and PowerPoint / Google Suite, Adobe and expense systems

  • A great team member: Have a strong cultural fit and work ethic with Zume and the People Team

  • Reliable and Flexible: Comfortable working 40 hours per week with availability outside of regular business hours for urgent matters or planning needs; Flexibility to match executive's schedule when needed

You will play a key role with due diligence and site selection efforts in existing and new regions by compiling and analyzing geographical location and specific prospective site information, including (i) permitting and land use data, (ii) data on energy (including renewable energy), water and wastewater availability and cost, (iii) network connectivity, (iv) natural hazard, floodplain and climatological data, and (v) legal, physical risk and financial implications. You will manage risk assessments: reporting, verifying and advocating, assuring key business operations can be continue despite interruptive events. You will drive the continuous assessment of hazards across our global datacenter footprint. You will also develop metrics and communicate performance to technical teams and senior leadership. This position has the potential to take on as much responsibility as you can handle. The right person will demonstrate proven program management experience to deliver multiple high priority projects at the same time. You have the ability to synthesize diverse data to identify trends and prioritize remediation efforts. You understand risk management concepts and can speak intelligently about our risk appetite. Key Responsibilities include: * Guide the expansion of Amazon facilities and services in new and existing regions globally. * Evaluate management systems, current practices and site conditions relative to risk appetite, enhancing understanding of exposures and guiding implementation of processes to meet internal standards. * Assess and draw conclusions from a wide range of real estate, engineering, construction, policy, planning, and business development considerations such as natural hazards, manmade risks, energy requirements, networks, utility availability, land use, zoning, permitting, environmental and social impacts, design, demand, and incentives. * Review and prioritize risk-based mitigation recommendations, partnering with internal stakeholders to obtain budget and managing projects to successful resolution. * Consolidate, quantify and compare inputs such as these, evaluate cost, design/build risk and schedule implications, and select regions and sites for development. * Interface with government entities and policymakers in the search for and assessment of new locations and the development of business opportunities. * Manage consultants and client relationships and coordinate internal teams. * Develop internal metrics, goals, and key performance indicators; manage and drive the continuous risk assessment of our datacenters; and develop long term goals, metrics and key performance indicators to drive continuous improvement aimed at enhancing platform resiliency. * Review and prioritize risk-based mitigation recommendations, partnering with internal stakeholders to obtain budget and managing projects to successful resolution * Up to 25% travel, including international destinations Amazon.Com, Inc.
