The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Weatherhead East Asian Institute is a hub for studying modern and contemporary East, Southeast, and Inner Asia at Columbia University. An integrated center for research and teaching, the Institute brings together faculty, research scholars, and students from across the university. It advances knowledge and understanding of the region through academics, research programs, renowned publications series, and a robust calendar of public events.

Reporting to and working in close consultation with the Executive Director, the Program Manager for Administration will assist with the general administration and personnel management of the Institute.

Responsibilities

  • Assist the Executive Director with the overall execution of Institute administration. Responsibilities include maintaining and updating institute policy, leading staff meetings in the Executive Director's absence, addressing staff questions, and reviewing staff work to ensure accuracy.

  • Manage office operations in two Institute locations, including overseeing space planning and office assignments to meet operational needs; overseeing the maintenance and purchase of furniture, equipment, and facilities; overseeing renovations and improvements of the Institute facilities and working environment; representing the Institute at University-level administrator meetings in the absence of the Executive Director; attending and helping to prepare the agendas for Executive Committee, Advisory Board, Inter-Regional Council, and staff/faculty meetings.

  • Manage HR needs for employees, including the life cycle of recruiting, tracking and approving office schedules and PTO requests, maintaining personnel and performance records, processing paperwork for raises, promotions, grade increases, and terminations, and supporting the creation of new staff positions. Process payroll for Student Casuals and approve timesheets for Temp Workers in addition to processing Temp Worker requests.

  • Communicating HR-related policy updates to staff; conveying information regarding Professional Development opportunities.

  • Coordinate academic appointments for Officers of Research and Officers of Instruction. Responsibilities include ensuring compliance with University and A&S policies concerning academic appointments; maintaining appropriate financial budgets to support academic appointments; collaborating with the Executive Director and other Institute staff and faculty to identify gaps in research and instruction; recruitment and hiring; onboarding; tracking and approving office schedules and PTO requests; and terminating appointments and processing annual e-Comp renewals.

  • Contribute to WEAI's strategic plan and work on initiatives that promote its goals and mission. The Program Manager for Administration will assist the Executive Director and the Director in developing and implementing the Institute's strategic two-year and five-year plans. They will also work with the Executive Director, staff, and faculty in developing new programs and launching new projects in line with the Institute's core objectives.

  • Participate in the Institute's annual budgeting process and assist the Executive Director in creating, implementing, and monitoring the Institute's annual and Professional Development budget. Monitor monthly expenditures at the project level for compliance with university and federal policies; manage petty cash disbursements and process additional compensation payments.

  • Serve as Effort Coordinator for the Institute in the University's annual E-Cert university.

  • Perform other duties as assigned.

Minimum Qualifications

Bachelor's degree and/or equivalent related experience required and two years of related experience required.

Additional Position-Specific Minimum Qualifications

Excellent writing, budgeting, interpersonal and organizational skills, high level of initiative, and the ability to work independently required. Knowledge of Microsoft Office required.

Preferred Qualifications

Advanced degree desirable. Experience in East Asian studies and/or academic administration preferred.
