Job Summary

The Program Manager is responsible for supporting the day-to-day operations of the program and plays a vital coordination role in ensuring program operations are effective for program participants and staff. This is a Professional Exempt Contractual (PEC) position for which an annual contract reflecting the base salary within the fiscal year (July 1st to June 30th) will be issued after ratification by Miami Dade College's District Board of Trustees.

This is a temporary grant funded position through February 28 year 2025 contingent upon grantor funding and grant extensions.

This grant position will be eligible for participation in the Florida Retirement System (FRS) after 6 consecutive months of continuous employment.

Duties & Responsibilities

  • Manages the coordination of the day-to-day operations of the program

  • Provides relevant, accurate, and timely information related to schedules, events, and administrative matters

  • Coordinates and produces teaching materials with assigned faculty

  • Ensures program components are scheduled in a timely fashion

  • Assists the advisors and faculty in coordinating all networking, mentoring, and professional services activities

  • Utilizes technology to capture information related to program participants

  • Assists with tracking budget expenditures and staying within budget

  • Acts as key liaison to program participants and coordinates the scheduling of key meetings and activities

  • Handles set up with facilities staff for all outreach events, classes and clinics

  • Confirms any needs for technology and works with the technology department to ensure that those needs are handled within budget

  • Organizes and plans menu within budgets for all classes and clinics, and confirms reliability of caterer

  • Handles the process of submitting purchase orders for all items, and payment of invoices

  • Responds to emails and telephone calls and ensures that requests or questions are routed to the appropriate staff

  • Supports program recruitment and alumni events as needed

  • Participates in assessment of curriculum sessions

  • Performs other duties as assigned

Minimum Requirements

  • Bachelor's degree from a regionally accredited institution in education, business, entrepreneurship or related field and six (6) years of academic program administration or project/grant experience related to program support and event planning; or Master's degree in education, business, entrepreneurship or related field and two (2) years of academic program administration or project/grant experience related to program support and event planning

  • All degrees must be from a regionally accredited institution

  • Knowledge and understanding of College organization, goals and objectives, and policies and procedures

  • Possess excellent planning, organizational, communication and interpersonal skills

  • Possess excellent decision-making skills

  • Detail-oriented and have the ability to meet deadlines

  • Ability to work independently and take initiative and responsibility for all aspects of grant

  • Ability to supervise project personnel

  • Ability to work in a multi-ethnic and multi-cultural environment with students, faculty and staff

  • Ability to work a flexible schedule that may include evening and weekend assignments

Additional Requirements

The final candidate is to successfully complete a background screening and reference check process.
